We're looking for a Virtual Assistant to support administrative, compliance, document management, communication, and routine social media tasks. The ideal candidate is organized, trustworthy, proactive, detail oriented, and comfortable working independently while helping keep documents, deadlines, and compliance related items on track. Some of your responsibilities will include: - Support compliance related document management, including checking that required paperwork is uploaded, organized, and current - Follow up with internal departments regarding missing, incomplete, or expired paperwork - Schedule and track assigned tasks to make sure deadlines and follow ups are completed - Upload documents, complete forms, and maintain accurate records in the appropriate files and systems - Monitor the compliance email account, download driver receipts, and file them in the correct folders - Prepare, format, and send the weekly BIS newsletter to the appropriate team members - Help coordinate internal training by sending links, instructions, and reminders to team members - Track training completion, follow up on outstanding items, and keep records updated - Create reports, request reports from others, and prepare simple updates as needed - Edit documents, update forms, organize files, and draft reminder emails - Assist with routine administrative support, document management, communication, and compliance related tasks - Support basic social media tasks, including posting on LinkedIn and Facebook and helping create AI assisted social media videos In addition to the above, the ideal candidate must be/have: - Friendly, kind, easy to work with and approachable - Positive attitude and calm, easygoing, professional personality - Honest, loyal, trustworthy, reliable, and dependable - Highly organized and detail oriented - Proactive, self motivated, and able to take ownership of tasks - Independent and able to follow through without constant reminders - Clear, respectful, and straightforward communicator - Comfortable asking questions when something is unclear instead of guessing - You must be tech savvy and quick to pick up new tools and software Experience with the following tools is a plus! - Microsoft Office Suite - Microsoft Teams - Slack - Asana - ChatGPT - Adobe - Social Media for business, including LinkedIn and Facebook Position Details - This is a W2 remote position - Benefits include PTO, sick time, paid holidays, and 401(k) with 3% match - The position will start at 20 hours per week, with the potential for more hours based on business needs - Hours are Monday to Friday from 9:00 am and 1:00 pm EST. - The pay rate is $30/hr.
