Role Description We’re looking for a Bilingual Payroll Implementation Associate (English/French) to support partners as they onboard to the platform and launch their first clients. This role requires a strong understanding of payroll fundamentals, as you’ll guide partners through payroll setup, review payroll data, and help ensure accuracy from day one. You’ll also be responsible for responding to partner inquiries about the payroll product and supporting partners as questions arise. You’ll work closely with experienced team members while gaining hands-on exposure to partner onboarding, payroll operations, and client-facing communication. What you’ll do - Support partners during onboarding and early client launches, with guidance from senior team members - Respond to partner inquiries related to the payroll product in a clear and timely manner - Join partner and client calls to observe, take notes, and assist with follow-ups - Review payroll data and documentation to ensure accuracy, completeness, and proper formatting - Help partners understand onboarding steps, payroll setup, and configuration decisions - Track tasks, timelines, and outstanding items to keep onboarding moving forward - Flag payroll discrepancies or potential issues early and escalate as needed - Share recurring partner questions and feedback to improve onboarding processes and documentation Qualifications - Working knowledge of payroll fundamentals is required, including earnings, deductions, remittances, and basic compliance concepts - 1 to 2 years of experience in payroll, or in a customer-facing role within payroll, HR, or finance - Strong organizational skills and the ability to manage multiple tasks with clear guidance - Comfortable communicating on calls and via email with a friendly, professional tone - Ability to explain payroll concepts clearly and ask thoughtful questions when something isn’t clear - Familiarity with working comfortably with spreadsheets or CSV files - A proactive mindset and willingness to learn new tools and processes Benefits - Hands-on experience supporting partners and clients in a growing SaaS company - Deep exposure to payroll operations, onboarding, and cross-functional collaboration - 100% remote work anywhere in Canada - A meaningful opportunity to impact partner experience and onboarding processes - A fast-moving environment that values clarity, collaboration, and thoughtful decision-making - Quarterly in-person team events and off-sites Our commitment to inclusion Nmbr is committed to building a diverse and inclusive team. Job Description This is a fully-remote, TEMPORARY role, lasting 3 months with potentially to extend. Responsibilities include but are not limited to: - Support the day-to-day Payroll functions for a highly complex, fast growing veterinary services organization of 4000+ employees over 220 veterinary practices across 125 FEINs in ADP Workforce Now, ensuring accurate and timely payroll processing and internal controls. - Partner with HR, Accounting, Operations, and other cross-functional teams to ensure seamless integration of payroll processes. - Resolve complex payroll issues and discrepancies, ensuring prompt and accurate resolution within 48 business hours. - Stay up to date with U.S. payroll regulations, payroll tax laws, and compliance requirements, ensuring adherence to all applicable laws and regulations and timely payroll tax setup and filings. - Develop and maintain strong relationships with external payroll and tax vendors and ensure the smooth operation of all payroll systems (currently ADP Workforce Now) and external legal counsel. - Participate in the analysis and implementation of new payroll systems and procedures to streamline processes and improve team efficiencies. - Ability to anticipate problems and provide solutions or develop contingencies. • Take ownership of all payroll functions and the payroll and 401k relationship between UAA, the practices, and Insperity (and any future payroll system we migrate to) • Aggregating payroll requests & adjustments, entering into the Insperity Premiere system respectively and auditing for accuracy • Compiling and reviewing biweekly payroll for all four companies with approval from Practice Administrators • Build relationships with Practice Administrators and other staff as appropriate at each practice, ensuring that trust is built and maintained • Process contractor payroll performed on ADP Run • Process monthly payroll on the 15th for a small group of physicians • Reviewing weekly timecard submissions for anomalies • Owning all four companies’ 401k plan, including any audits that may need to be performed, end of/beginning of year reporting, entering contributions and employee changes such as disbursements, and answering front line questions about the plan and functionality in Empower • Managing the 401k bridge from the 401k platform (Empower) to the payroll system • Reviewing policies/accruals in the payroll system for accuracy, ie PTO, and holding the Insperity payroll system and team accountable to updating the information and keeping it accurate • Running biweekly and ad hoc payroll reports as well as other employee and company reports as requested • Liaising with Insperity team on issues, updates, changes, etc • Creating process and control documentation • Preparing data and stakeholders for future payroll system conversion • Onboarding any new practice acquisitions to the system • Performs other duties as assigned
