Job Description

Events Producer

Windfall

• Produce Windfall events end to end, from planning through on-site delivery and follow-up • Build production plans, timelines, run-of-show documents and checklists • Manage venues, vendors, budgets, contracts, materials and participant logistics • Coordinate with co-conveners, host institutions, external agencies and partner teams • Be on the ground for events, managing setup, registration, room flow, speaker support and troubleshooting • Build the templates, playbooks, vendor lists and processes that allow Windfall to scale its convening work • Design and maintain the operational infrastructure — playbooks, templates, vendor relationships, checklists — that allows Windfall to run a high volume of events at consistent quality

Job Requirements

  • 5+ years producing high-quality events, convenings, workshops, roundtables or executive meetings
  • Experience managing complex events end to end, including budgets, vendors, timelines and on-site delivery
  • Strong project management skills, attention to detail and written communication
  • Comfort working with senior stakeholders, speakers, participants and partners
  • Experience managing or coordinating external event producers, agencies or vendors on-site

  • Experience building operational systems, templates or processes
  • Comfort working in a remote, international team
  • Willingness to travel internationally
  • Experience producing closed-door policy convenings, philanthropic events, government or diplomatic meetings, Chatham House-style discussions, or AI/technology policy events would be especially valuable.

• Plan and execute a calendar of in-person experiences: founder dinners, executive roundtables, thought leadership salons, suite takeovers, and presence at 3–4 major conferences per quarter • Design creative off-program experiences around major conferences that pull high-value prospects out of the noise and into a real conversation • Run larger productions when the moment calls for it, 30 to 50-person thought leadership dinners, topical salons, curated industry nights • Identify the right events, venues, and audiences to put our founders and execs in front of high-fit buyers • Own end-to-end logistics: venue sourcing, invite lists, vendor management, on-site execution, follow-up • Curate small, sharp guest lists, the goal is the right 6–10 people in the room, not 200 badges scanned • Partner with sales to convert event attendees into qualified pipeline and closed customers • Build repeatable playbooks for each event type so the motion compounds and becomes hand-offable as the team grows • Deploy budget thoughtfully, you’ll have real capital to spend, and we’ll expect a clear case for ROI • Report on pipeline sourced, CAC per event, and revenue influenced
