Archy is a Series B vertical SaaS solution revolutionizing the dental practice management space — giving dental providers AI agents and software that lets them do what they do best (be dentists!) while we handle the more technical sides of running their practice business. Job Description: We're looking for a Payment Operations Specialist who will support the strategy, setup, governance, and optimization of the company’s payment infrastructure. This role will assist in establishing and maintaining best practices, generating reports to analyze and optimize the payment platform, and ensuring that all practice payment issues are resolved with the level of detail and urgency that they deserve. Job Responsibilities: - Serve as primary point of contact for day-to-day payment issues, communicating with practices and internal Archy teams to ensure timely resolution. - Work closely with our product team to document all existing processes and document new processes across our two payment platforms. - Maintain and update standard operating procedures for all payment partner relationships - Support onboarding, setup, and ongoing maintenance of merchant accounts, gateways, and acquiring relationships. - Act as a payments subject matter expert (SME) for internal teams across Product, Onboarding and Customer experience. - Manage operational escalations across all supported payment rails, including ACH returns, fee discrepancies and deposits. - Support documentation and communication of payment-related policies, processing timelines, and exception procedures. - Maintain strong awareness of compliance considerations and network rules relevant to your daily functions (e.g., Nacha, Card brand Rules, PCI). - Proactively identify recurring issues and build or improve controls to prevent recurrence, beyond solving for just the moment. - Investigate, track, and reconcile disputed transactions for practices - Expected to actively adopt and integrate AI tools into day-to-day workflows to enhance productivity, decision-making, and overall impact. Job Requirements: - 3+ years of payment support experience at a SaaS or financial services company. - Experience with Excel, SQL, or business intelligence tools (Power BI, Tableau) is a plus. - Leverages AI tools and automation in everyday work to move faster, improve outcomes, and continuously raise the bar on how we operate. - Clear and effective written and verbal communication skills. - Love to solve technical problems with multiple variables. We don’t expect you to be a technical wiz, but hope you enjoy learning new technologies and diving into technical problems to find solutions.
