Role Description The company is seeking a highly organized and resourceful Business Operations & Executive Coordinator to support leadership, streamline operations, maintain vendor and website organization, and keep day-to-day activities moving efficiently across multiple areas of the business. What You’ll Do - Executive Support - Manage and organize the CEO’s inbox and communications - Flag high-priority emails and help prioritize responses - Coordinate calendar scheduling and meetings - Prepare notes, reminders, and follow-ups - Help move projects and tasks from “pending” to “done” - Support leadership with day-to-day operational coordination - Vendor Research & Data Organization - Research and identify vendors nationwide, including: - Steel suppliers - Erection crews - Specialty construction vendors - Gather contact details, pricing, service areas, and availability - Maintain organized and searchable spreadsheets/databases - Follow up with vendors to collect missing information - Keep vendor records accurate and updated for internal use - Website Product & Content Updates - Update product listings and content in WordPress - Upload and organize product photos and project images - Use Adobe Photoshop or similar tools to resize, crop, and optimize images - Help maintain accurate and visually organized product pages - Support updates to product descriptions and related website content - Marketing Content Support - Organize project photos and videos from completed builds - Create simple marketing videos using existing photo/video assets - Help maintain organized media libraries - Coordinate with leadership on content priorities and timelines - Operations Support - Coordinate deliveries and scheduling - Assist with tracking materials and logistics - Support reporting and operational admin tasks - Help remove operational bottlenecks and improve day-to-day efficiency - General Administrative Support - Data entry and documentation - Organizing digital files and systems - Managing recurring administrative tasks - Supporting the team wherever needed to keep operations moving smoothly Qualifications - Highly organized and detail-oriented - Strong follow-through and accountability - Excellent written and verbal communication skills - Comfortable researching vendors and making calls - Experience with WordPress - Familiarity with Adobe Photoshop, Canva, or similar tools - Basic video editing skills for simple marketing/social media content - Strong spreadsheet and organizational skills - Ability to manage multiple moving parts simultaneously - Resourceful, proactive, and solutions-oriented - Comfortable working independently in a remote environment Bonus Points - Experience supporting an executive or business owner - Experience in construction, logistics, or vendor coordination - Strong Excel or Google Sheets skills - Experience maintaining websites or product databases - Familiarity with operational workflows and process coordination What Success Looks Like In this role, leadership stays focused because operations stay organized and moving efficiently.
