Role Description The scheduling specialist acts as a bridge for referring physicians and patients. The scheduling specialist is responsible to ensure appropriate and timely access of care for patients throughout the Northern, Eastern and Metro regions within Baystate Health System. - Responds to physician BMP, Community Providers needs to ensure appropriate and timely access to care for patients with BMP Specialists. - Investigates issues/problems as identified by referring physicians and/or their associates. - Responds to referring physician needs and concerns in a timely manner. - Coordinates the scheduling for outpatient appointments, interventional and surgical procedures. - Engages directly with patients to support timely, appropriate appointment scheduling. - Responsible for obtaining referrals, authorizations and diagnosis that meet medical necessity requirements. - Troubleshoots difficult and hard to resolve problems. - Working with case management and PAs to identify and schedule office visits within the recommended time frame. - Provides accurate documentation following all established processes and protocols. - Proficient in the following applications: CIS, Centricity Business, ORSOS, Compliance Checker, SMS, I privileges and 3M. - Demonstrates use of quality/process improvement in daily activities. - Engaged and Customer Focus. Able to work effectively in a team environment. - Maintain an accuracy average rate >/= 97%. - Performs mentoring responsibilities during new staff introductory period. - Content expert for assigned activities and resource to team. - Acts as a role model for staff by exhibiting positivity, confidence, and an overall professional attitude. - Exceeds both departmental QA and Productivity standards. - Types > 25 wpm. - Mastery of Advanced ASR activities. Qualifications - Five years of experience in a physician office or health care setting. - Demonstrated understanding of clinical diagnosis, medical specialties and general patterns of patient care. - Understanding of referral relationships required along with a good working knowledge of the client service function. - Able to adapt to fast paced, high energy department. - Strong oral, written and interpersonal communication skills. - Maintain strict standard of confidentiality. Requirements - Successfully completed a medical terminology course or will successfully complete approved course within one year. - Experienced and comfortable working with physicians/medical professionals. - Solid communication skills in English (both written and verbal). - Positive, upbeat personality with a positive outlook. - Orientation focused on service excellence. - Experienced and familiar with medical practices, hospital services, operations and environment. - Ability to use phone, computer and related technology. - Ability to communicate in writing and orally in English, in a consistent professional manner. - Ability to effectively manage multiple projects. - Demonstrated ability to problem solve. - Demonstrated ability to develop, maintain effective working relationships with internal and external clients. - Ability to influence outcomes without direct line of authority. - Ability to plan, organize and manage resources within prescribed timeframes. - Ability to identify and respond proactively to primary client/customer needs. - Ability to actively listen and engage in communications. - Ability and willingness to learn new processes, software or other tools as needed. Education - GED or HiSET (Required) Compensation Note: The compensation range(s) in the table below represent the base salaries for all positions at a given grade across the health system. Typically, a new hire can expect a starting salary somewhere in the lower part of the range. Actual salaries may vary by position and will be determined based on the candidate's relevant experience. No employee will be paid below the minimum of the range.
