Role Description We are seeking a highly organised and proactive Recruitment Support & Executive Assistant to provide dual support to the agency's recruitment consultants and its director. This is a full-time role that blends hands-on recruitment operations, research, sourcing, database management, and candidate coordination with executive assistance duties supporting the day-to-day running of the business. The right person will be someone who thrives in a fast-paced environment, takes ownership of their work, and is genuinely interested in both recruitment and operational support. Key Responsibilities - Recruitment Support - Market mapping and candidate research across fashion, retail, beauty, digital and related sectors - Building and maintaining talent pipelines and candidate databases - Using sourcing tools such as LinkedIn Recruiter, Apollo, RocketReach and Lusha to identify and map candidates - Updating and maintaining the ATS/CRM system (JobAdder or similar) - Compiling candidate spreadsheets and talent maps for consultants - Formatting CVs and preparing candidate profiles and shortlist presentations - Posting and managing vacancies across job boards - Supporting consultants with recruitment administration and coordination - Assisting with candidate mailers and database communications - Supporting process improvements using AI and automation tools - Candidate Screening & Pre-Qualification - Conducting initial phone or video screening interviews when required - Assessing candidate suitability against role briefs - Evaluating communication skills, motivations and salary expectations - Preparing candidate summaries and recommendations for consultants - Representing the agency professionally in all candidate interactions - Executive Assistant Support - Managing the director's calendar, scheduling, and meeting coordination - Handling email correspondence and follow-ups on behalf of the director - Preparing documents, reports, presentations and meeting materials - Coordinating internal team communications and tracking action items - Assisting with invoicing, reporting, and other administrative tasks - Managing travel arrangements and bookings when required - Supporting ad hoc operational and business administration tasks as directed Qualifications - Essential - Previous experience in a recruitment agency, staffing business, and EA/PA support is required. - Strong written and verbal English communication skills - High attention to detail and strong organisational ability - Comfortable working independently in a remote environment - Experience using ATS/CRM systems such as JobAdder, Bullhorn or similar - Strong Excel and spreadsheet skills - Experience using sourcing tools including LinkedIn Recruiter, Apollo, RocketReach or Lusha - Proven ability to manage competing priorities and deadlines - Desirable - Experience supporting senior executives or directors - Familiarity with AI tools such as Claude, ChatGPT or workflow automation platforms - Exposure to the fashion, retail, beauty or lifestyle industries Personal Attributes - Mature, proactive and dependable - Process-driven and highly organised - Calm under pressure with strong follow-through - Professionally confident when communicating with candidates and stakeholders - Naturally curious and interested in technology and continuous improvement - Committed to long-term growth within the business Work Arrangement & Expectations This is a remote role that will be set up as an independent contractor engagement.
