Role Description As a Scheduling Coordinator, you’ll serve as the connective tissue between Nema’s patients and clinical team. You’ll own the scheduling experience end-to-end, ensuring patients are consistently connected to care, provider calendars are optimized, and our multi-state operations run smoothly. This is a high-volume, high-impact role that requires equal parts precision, empathy, and operational problem-solving. You’ll partner closely with Clinical Operations, Admissions, Billing, and Therapy teams to reduce friction across the care journey and maintain continuity for patients. This role is ideal for someone who is exceptionally organized, highly communicative, and energized by solving complex operational challenges in real time - while always keeping the patient experience at the center of their work. Schedule & Work Location - This is a full-time position with a regular schedule of Monday through Friday, 7:30 AM to 4:00 PM Eastern Time (ET). - Employees may work remotely from any state within the continental United States; however, all work must be performed during these scheduled Eastern Time business hours. Key Responsibilities - Patient Scheduling: - Serve as the dedicated point of contact for all patient scheduling needs. - Communicate with patients via phone, text, and in-platform messaging, with empathy, professionalism, and timeliness. - Provider Calendar Management: - Optimize provider schedules by managing availability, minimizing gaps, handling cancellations and backfills, and maximizing utilization. - Provider-Patient Matching: - Coordinate provider matching based on licensure state, insurance coverage, availability, and patient preference to ensure timely and appropriate access to care. - Scheduling Systems & Process Improvement: - Identify scheduling inefficiencies, surface operational recommendations, and collaborate cross-functionally to improve workflows, patient experience, and operational effectiveness. - Provider Onboarding Support: - Support new provider onboarding by introducing scheduling workflows, operational processes, and calendar management expectations. Qualifications - Have 2+ years of experience in healthcare scheduling, medical administration, or a similar patient-facing operations role. - Have experience working in a high-growth telehealth or digital health startup environment. - Have experience supporting behavioral health, long-term care, and/or multi-provider clinical settings. - Are highly proficient with scheduling platforms, CRMs, and tools like Google Sheets or Excel. - Have exceptional attention to detail and can manage high-volume, fast-paced workflows with a high degree of accuracy. - Communicate clearly, empathetically, and professionally with both patients and internal stakeholders. - Thrive in fast-changing environments and can adapt as processes evolve. - Are bilingual in English and Spanish (preferred). This provides our employees with the opportunity to professionally grow and develop within a role. The base pay range for this role is between $20.00 and $23.00 an hour at the commencement of your first year of employment. Compensation decisions are dependent upon a variety of factors which may include, but are not limited to: skill set, years of relevant experience, education, location, and licensure/certifications.
