Role Description The Director, Project Management, Marketing, is the primary driver of structured delivery across Brand USA's marketing initiatives. This role is responsible for translating marketing strategy into executable project plans, owning the full lifecycle of campaigns, content programs, and cross-functional initiatives from scoping through final delivery. The Director, Project Management ensures that creative, digital, comms, partnership, and trade workstreams are sequenced, resourced, and moving in concert, acting as the connective tissue that keeps projects on track and stakeholders aligned. An integral component of this role is the ability to apply agentic AI and automation to compress timelines on recurring deliverables and to actively identify workflows where manual coordination can be replaced with agent-assisted delivery. This is a hands-on delivery role requiring deep expertise in project management practice, strong relationship-building skills, and the ability to bring order and momentum to complex, multi-party marketing efforts. Qualifications - PMP certification preferred. - Bachelor's degree in marketing, communications, business, or a related field. - 5-7 years of progressive project management experience within a marketing, brand, or creative agency environment; experience in travel, tourism, or destination marketing a plus. - Demonstrated ability to independently manage multiple concurrent, complex marketing projects from initiation through delivery in a deadline-driven environment. - Hands-on proficiency with project management platforms such as Asana, Monday.com, Wrike, Smartsheet, or comparable tools, including experience administering team workspaces. - Hands-on fluency with applied AI tools (e.g., Claude Cowork, Claude Code, or comparable agentic platforms) and a proven instinct for spotting recurring workflows that should stop being done manually. - Proven ability to coordinate effectively across creative, content, digital, and partnership teams, as well as external production and agency partners, to achieve on-time delivery. - Strong written and verbal communication skills with experience preparing project status reports, executive summaries, and stakeholder briefings. - Skilled at facilitating cross-functional meetings and driving decisions in environments with multiple competing priorities and senior stakeholders. - Ability to translate high-level marketing objectives into structured, actionable project plans with defined owners, milestones, and success measures. - A dedicated remote work area that is quiet enough for employees to concentrate is required. Must have homeowner's or renter's insurance and the ability to comply with company technology, safety, and health requirements. - Ability to travel on occasion as required to attend meetings and/or events. - Ability to frequently operate a computer and other office productivity machinery. - Ability to lift up to twenty (20) pounds. - Ability to perform the essential functions with or without a reasonable accommodation. - May require more than forty (40) hours per week to perform the essential duties of the position. Requirements - Own the end-to-end delivery of marketing campaigns and content initiatives, from initial scoping and brief development through final asset delivery and project close. - Construct and maintain comprehensive project plans with clearly defined phases, owners, deliverable dates, and interdependencies for all active marketing workstreams. - Lead project kickoff sessions, establish shared definitions of success, and align stakeholders on scope, sequencing, and delivery expectations before work begins. - Monitor project health in real time, surfacing schedule risks, scope changes, and resource constraints early and driving resolution before they impact delivery. - Utilize AI-assisted project dashboards and predictive analytics to proactively identify bottlenecks and flag at-risk deliverables before they escalate. - Conduct structured project retrospectives to capture lessons learned and apply them to future campaign planning cycles. - Leverage AI summarization tools to accelerate documentation of retrospective findings and automate trend analysis across project history. - Manage relationships with external creative, content, and production partners to coordinate asset delivery schedules and ensure brand and quality standards are met. - Function as the central point of coordination across Marketing, Communications, Research, Partnership, and Trade teams, maintaining a single, current view of project status across all workstreams. - Produce clear, concise project communications, including weekly status reports, escalation summaries, decision logs, and executive-ready project updates for marketing leadership. - Facilitate structured working sessions and decision-making forums, ensuring the right people are in the room, agendas are prepared, and outcomes are documented and acted upon. - Establish intake and triage procedures for new marketing project requests, working with leadership to assess scope, capacity fit, budget, and priority before work is assigned. - Maintain RACI frameworks for major initiatives, ensuring accountability is explicit, and handoffs between teams are clearly defined and executed. - Partner with individual contributors and team leads across functions to remove blockers, resolve ambiguities, and keep parallel workstreams advancing toward shared deadlines. - Establish and enforce consistent project delivery standards across the marketing team, including brief formats, review and approval workflows, and asset handoff protocols. - Build a library of repeatable project frameworks and playbooks for common marketing initiative types: campaign launches, event activations, content series, and partnership rollouts. - Administer and optimize the team's project management platform, ensuring it reflects live project data and serves as the single source of truth for all active work. - Evaluate and implement AI-native integrations to maximize platform value. - Onboard marketing team members and partners to established project workflows, tools, and documentation expectations. - Track on-time delivery rates and project cycle times across the marketing portfolio, reporting trends to leadership and recommending targeted improvements. - Apply AI-powered reporting tools to automate portfolio-level performance analysis and generate data-driven improvement recommendations. - Report to work on a regular basis and be available for occasional after-hours emergency calls and projects.
