• Take ownership of the CEO's email inbox — label, filter, and organise so priority items are immediately visible. • Draft and send emails on behalf of the CEO, including fundraising outreach to prospect lists. • Manage calendar scheduling, set up meetings, and send reminders. • Send targeted outreach emails (10-15 per week) to prospect contacts using messaging and copy provided by the CEO. • Track outreach activity and follow up as directed. • Assist with data entry and maintenance in Raisly (fundraising CRM) as needed. • Process expense claims and reimbursement forms based on receipts provided by the CEO. • Handle a variety of ad hoc admin tasks to free up the CEO's time. • Assist with policy writing, document formatting, and internal communications as required. • Support the migration of legacy data from Salesforce into Monday.com to consolidate CRM and task management. • Help the organisation become more robust in Monday.com for project and task tracking. • Work within the Google Suite (Gmail, Drive, Docs, Sheets, Calendar) as the primary toolkit.
Job Requirements
- Minimum 3-4 years of experience in an executive assistant, PA, or senior admin role.
- Strong written English — able to draft professional emails and correspondence independently.
- Highly organised with excellent attention to detail.
- Comfortable working with Google Suite (Gmail, Drive, Docs, Sheets, Calendar).
- Proactive, reliable, and able to manage tasks with minimal supervision.
- Able to overlap with Australian Eastern Standard Time (AEST) for meetings and check-ins.
- Familiarity with Monday.com for task and project management.
- Experience with Raisly or similar fundraising/CRM platforms.
- Prior experience supporting a CEO or senior executive in a not-for-profit environment.
- Understanding of child protection policies and NGO compliance frameworks.
