Global Events Coordinator

Entrepreneurs'​ Organization

• Support the execution of Global Events, including Explorations, Universities, Global Leadership Conference, and Leadership Academies • Manage and maintain all event-related lists, including registration lists, waitlists, rooming lists, activity selections, and group assignments • Ensure alignment and accuracy across all platforms (CRM, Cvent, Eventbrite, and internal trackers) • Support payment tracking, reporting, and coordination of attendee refunds • Draft and compile event communication content for Event Lead review • Manage email distribution lists and execution through platforms such as Mailchimp • Coordinate event supplies, packing, and shipping logistics for Global Events • Prepare the Global Events team for onsite execution • Assist with small events or additional projects as assigned

Job Requirements

  • Bachelor’s Degree and two or more years administrative experience, association work, event planning or coordination related work
  • Proficiency in MS Excel is a must
  • Proficiency in Microsoft Office presentations tools
  • Exceptional customer service and organizational skills
  • Demonstrate a solution-oriented mindset and promote quality through continuous performance improvement
  • Knowledge of Canva, project management software like Monday.com, C events desirable
  • Ability to travel domestically and internationally up to 10 % - 15% of the time

MAIN RESPONSIBILITIES Event Planning & Execution Plan, coordinate, and execute EDPR NA-owned and sponsored events, including industry conferences, summits, roundtables, panels, networking receptions, and project milestones (groundbreakings and ribbon cuttings), and supports internal meetings. Manage end-to-end event logistics, including venue selection, vendor coordination, catering, audiovisual production, signage, branded materials, and travel arrangements. Develop detailed project plans, timelines, budgets, and post-event summaries to ensure operational excellence and continuous improvement. Partner cross-functionally with development, government affairs, communications, brand, commercial, operations, and executive teams to align event objectives, messaging, and stakeholder engagement goals for events. Travel as needed to support event execution, oversee on-site logistics, and represent EDPR NA in the field. Sponsorship & Industry Engagement Management Evaluate, negotiate, and manage sponsorship opportunities across key markets, including renewable energy conferences, trade associations, economic development organizations, and community initiatives. Ensure all sponsorships align with EDPR NA's brand standards, development priorities, stakeholder engagement goals, and compliance standards. Oversee sponsorship deliverables and activation plans to maximize visibility, relationship-building, and return on investment. Budgeting & Operational Oversight Track event and sponsorship budgets, manage vendor payments, and coordinate financial reconciliations in partnership with the finance team.
