• Act as a trusted guide for RIAs and Investment Advisor Representatives (IARs) • Serve as the main operational liaison for new advisors • Coordinate full onboarding lifecycle, including initial kickoff, timeline tracking, milestone management, and go-live support • Collect, organize, and review client data; prepare advisory documents with high accuracy • Manage the transfer of client accounts and assets, ensuring timely updates from custodians • Proactively identify potential transition roadblocks and resolve issues

  • Proven experience in advisor onboarding or transitions within the RIA industry
  • In-depth knowledge of custodial platforms (e.g., Fidelity, Schwab) and RIA operational workflows
  • Exceptional organizational and project management skills, with the ability to handle multiple transitions simultaneously

Title: Onboarding Specialist Location: Denver, Colorado, United States Job Description: GHX is seeking an Onboarding Specialist to join the People Excellence team to foster a positive and rewarding new hire experience for all incoming employees. As the Onboarding Specialist, you will be responsible for managing all aspects related to the onboarding of new employees and serve as the main point of contact for internal employees transitioning to new roles. In this role, you will partner with Talent Acquisition starting at the post-offer stage through a new hire’s first 90 days to ensure seamless logistics, a fast track to role proficiency and instill confidence in the new hire as they navigate their new role. The ideal candidate is an energetic, polished communicator who thrives in front of an audience — whether facilitating large-scale New Hire Orientation events, leading training sessions, or hosting employee social events that bring our culture to life. This person will perform a variety of human resource activities with a positive, self-motivated, and organized approach. Role Responsibilities: New Hire Experience & Onboarding - Connects with all new hires post-offer to guide them through the new hire process roadmap. - Manages a best-in-class quarterly in-person New Hire Orientation (NHO) program including full-cycle event project management: venue logistics, speaker coordination, run-of-show scheduling, A/V and technology setup, and post-event evaluation. - Sets all pre-Day 1 hiring manager and team meetings including virtual and live New Hire Orientation sessions. - Works with hiring teams and managers to create and deliver personalized welcome experiences for new hires. - Prepares New Hire Quick Start Guides for leadership hires in partnership with the hiring manager. - Responsible for maintaining and developing new hire swag including shipment of personalized welcome materials. Live Events, Training & In-House Public Speaking - Leads and facilitates in-person and virtual training sessions for new hires and cross-functional teams, serving as a confident and engaging on-stage or on-screen presenter. - Serves as a company ambassador and in-house public speaker at employee-facing events including town halls, onboarding kick-offs, and company-wide programs — representing GHX’s culture, values, and employer brand with professionalism and enthusiasm. - Plans, coordinates, and hosts employee social events such as new hire happy hours, team-building activities, and milestone celebrations that reinforce connection and belonging from Day 1. - Partners with internal stakeholders and leadership to develop event programming, talking points, and presentations that align with the employee value proposition. - Manages end-to-end logistics for all onboarding-related live events: budget tracking, vendor coordination, attendee management, space reservations, catering, and post-event follow-up. Program Administration & Compliance - Manages all onboarding new hire modules in the GHX HRIS, Dayforce. - Administers relevant background check, eVerify, and credentialing processes. - Maintains accurate documentation of work authorization in accordance with applicable federal, state, and local law. - Trains all new hires to navigate the HRIS including reviewing pay and benefit information. - Works with new hires to ensure compliance training is complete within a standard SLA across the business. - Partners with ET to ensure and track new hire hardware delivery, system setup, and cross-functional team training sessions. - Assists new hires with additional programs such as T&E, corporate credit cards, and navigating the GHX Hub. - Prepares and maintains 30-day new hire reviews, 45, 90 & annual employee check-in surveys in Microsoft Office and Glint. - Manages and updates all internal trackers that monitor new hire and program milestones. - Audits onboarding materials and programs quarterly for marketing and company updates. - Cross-trains with the Talent Acquisition team on relevant back-up assistance and special projects. Role Requirements: - Four plus years of progressive HR experience. Building and executing employee-centric programs in support of an employee value proposition preferred. - Two plus years leading a new hire orientation or similar large-scale live event program in a corporate or professional setting, including full project management of event logistics. - Demonstrated experience planning and managing live events and in-person training sessions, including vendor management, scheduling, on-site coordination, and post-event follow-up. - Confident and polished public speaker, comfortable presenting to groups of all sizes in professional settings including company-wide or leadership-level audiences. - Proven ability to plan and host employee social and engagement events such as happy hours, team-building exercises, and recognition experiences that strengthen community and culture. - Experience providing a high level of employee or customer service including meeting specific KPIs. - Associate’s degree and/or a combination of relevant education and work experience. - Demonstrated ability to maintain confidentiality and meet deadlines. - Professional use of relevant software packages such as MS Office, HRIS, and ATS. Estimated salary range: $57,000 – $71,200 The base salary range represents the anticipated low and high end of the GHX’s salary range for this position. Actual salaries will vary and will be based on various factors, such as candidate’s qualifications, skills, competencies and proficiency for the role. The base salary is one component of GHX’s total compensation package for employees.
