As our first dedicated administrative hire in Japan, you'll be the operational backbone of our local organization, working closely with both our Japan and US teams to make sure nothing falls through the cracks. WHAT YOU’LL DO - Own day-to-day office operations — Correspondence, vendor coordination, processing purchase orders, quotations, and shipments across Japan and the US - Assist HR teams with onboarding new hires and maintaining a welcoming, well-run office environment - Assist Legal teams with administrative filings, contracts, and legal documentation in both Japanese and English - Help plan team events, off sites, and occasional visitor logistics - Support ad hoc program management teams as our Japan operations expand — no two days are the same - Generally help out wherever you can! WHAT WE’RE LOOKING FOR - Excellent fluency in Japanese and English — written and spoken business proficiency in both. - 2+ years of experience working in Japan, in an administrative, operations, or executive support role. - Highly organized and proactive — you catch things before they become problems. - Comfortable working across cultures and time zones in a startup environment - Flexibility - Ability to multitask and adapt to shifting priorities in a fast-paced work environment - Proficient with Google Workspace, and collaboration tools (Slack, etc.) - Passionate about self-driving technology, mobility, or the automotive industry is a plus — but curiosity matters more than credentials - Knowledge of general Japanese business practices, rules and regulations.
