Role Description We are a fast-paced post-construction demolition company looking for an "all-star" Scheduling & Dispatch Coordinator. In this role, you aren't just an admin; you are the air traffic controller for our entire field operation. You will serve as the critical bridge between our clients and our demolition crews, ensuring that jobs are scheduled accurately and that our teams on the ground have the answers they need to succeed. This role requires a high degree of emotional intelligence, extreme attention to detail, and a mandatory background in dispatch operations. You will be responsible for translating client requirements into actionable schedules, managing crew logistics via WhatsApp and Google Calendar, and assisting our management team in keeping the "engine" of the business running smoothly. Key Responsibilities - Crew Coordination & Dispatching - Schedule Ownership: Coordinate and schedule the next day's jobs for multiple demolition crews, ensuring maximum efficiency and minimal downtime. - Real-Time Communication: Serve as the primary point of contact for offsite employees. You will answer crew questions in real-time, providing clarity on job sites, timing, and specific client requests. - Dynamic Logistics: Manage the shifting priorities of a post-construction environment, adjusting schedules on the fly as job site conditions change. - Client & Team Liaison - Information Triage: Act as the "filter" between the client and the team. You will take questions from the crew, bring them to the client for answers, and relay those solutions back to the field immediately. - Accountability: Ensure that all appointments are set up correctly within our proprietary software system and reflected accurately on Google Calendar. - Daily Syncs: Assist current managers by offloading the administrative rigors of scheduling, allowing them to focus on high-level project management. - Systems & Communication - Tool Mastery: Utilize our internal software (which facilitates chats with local contractors), WhatsApp, and Google Calendar to maintain 100% visibility on all active and upcoming jobs. - Data Integrity: Maintain meticulous records of job statuses, crew assignments, and client feedback to ensure a perfect audit trail for every project. Qualifications - Dispatch Background Required: Proven experience in a dispatching or high-volume scheduling role, ideally within the trades, logistics, or construction industries. - Offsite Team Management: Previous experience working with and managing offsite or field-based employees is essential. - Attention to Detail: An "eagle eye" for details; understanding that a mistake in a job address or a crew start time can derail an entire day's revenue. - Fast-Paced Resilience: Thrives in high-pressure environments, handling the "chaos" of a busy morning with multiple crews and clients all needing answers at once.
