Role Description OJ Digital Solutions is seeking a motivated and experienced Operations Manager with a creative background (design/writing) to join our team remotely. This is a very unique and special role where you'll be responsible for all operations full-time - fully remote. You will be responsible for managing client orders and relationships, overseeing projects from start to finish, including mostly graphic design projects and writing projects. You must be familiar with: - Design work related to packaging designs (labels, pouches, boxes) - Infographics designs - Freelancing platforms such as Fiverr and Upwork Key Responsibilities - Order Management - Oversee the lifecycle of all client orders on selling platforms, from initial order intake to final delivery. - Ensure orders are assigned to the appropriate team members (designers, writers, etc.). - Respond to client inquiries, concerns, and revision requests in a timely and professional manner. - Monitor project timelines and ensure delivery deadlines are met. - Communicate with clients to clarify project requirements and keep them informed about the progress of their orders. - Manage customer expectations, especially in cases of urgent requests or tight deadlines. - Revision Handling - Provide feedback to team members based on client feedback and revisions. - Handle customer revision requests efficiently and accurately. - Ensure revisions are processed quickly and meet quality standards. - Review revisions before they are sent to the client, ensuring high-quality results. - Maintain a structured process for revisions to avoid errors and delays. - Quality Control/Design - Conduct quality checks on all completed work before final delivery to ensure they meet customer expectations. - Collaborate with designers, writers, and other team members to ensure high-quality output. - Ensure all work delivered aligns with client instructions, brand standards, and guidelines. - Potentially redesign/retouch assets to enhance the work. - If there’s downtime, potentially help out with designing infographics. - Processes and Trainings - Help come up with better processes and systems to improve quality work, workflow, and deliverables, such as standardizing deliveries and mockups. - Periodically help update training materials. Qualifications - Proven experience in client management and project management, ideally in a creative/design agency. - Strong graphic design background; proficient in Adobe Creative Suite & Figma. - Excellent written and verbal communication skills. - Tech savvy - fast at handling technology. - Highly organized and able to juggle multiple projects simultaneously. - Strong eye for design aesthetics and attention to detail. - Problem-solving mindset with the ability to make decisions in a fast-paced environment. - Experience managing client expectations and delivering projects on time. - Self-motivated, positive, and passionate about client success.
