Role Description Fidelia Counseling Services is seeking a professional, highly organized Independent Contractor to manage our intake and referral operations. You will be the primary point of contact for families and providers, ensuring every referral is handled with efficiency and empathy. This role requires a deep understanding of the Massachusetts behavioral health landscape and a commitment to maintaining a professional virtual and community presence. - Structured Referral Entry: Manage the intake lifecycle by completing an online referral facesheet for every new lead prior to entering data into the Electronic Health Record (EHR). - Waitlist Advocacy: Proactively manage the agency waitlist through bi-weekly outreach. You must be able to calmly de-escalate or diffuse issues with families who may be frustrated by wait times, ensuring they always feel respected and heard. - Clinical & Ops Collaboration: Answer directly to Management (Operations) to facilitate smooth provider matching and insurance authorizations. - Technical Documentation: Utilize Microsoft Word, Excel, and Spreadsheets to verify clients' insurance, maintain accurate, organized, and HIPAA-compliant digital files. - Knowledge Base: Apply your knowledge of CBHI, CBHC, and insurance verification to ensure referrals are processed correctly and families are eligible for services. Qualifications - Professionalism & Values: Must follow a professional dress code and demonstrate high efficiency. You must be respectful and empathetic to our clients' requests, aligning with our values and culturally sensitive values. - Technical Skills: Mastery of Microsoft Office (Word, Excel, Spreadsheets) and prior experience with EHR/EMR software. - Language Skills: English, bilingual (Spanish or Portuguese is preferred). - Education & Experience: Bachelor’s degree in Human Services or related field (preferred). 1-2 years of experience in behavioral health administration. - Eligibility: Must be authorized to work in the U.S. Benefits - Flexible schedule - Growth Potential: Start with part-time contract hours with the possibility of transitioning to a W-2 Full-Time role as the agency expands.
