Senior Executive Assistant

Vera Therapeutics, Inc.

• Expertly manage and prioritize the Executive Directors of Sales (and their direct-reports)) calendars, focusing on productivity, urgency, and stakeholder needs. • Arrange comprehensive travel plans and coordinate high-profile events and meetings for Executive Directors of Sales and other sales leaders. • Act as gatekeeper by screening and prioritizing communications and managing access to the Executive Directors of Sales and their direct-reports. • Effectively communicate and partner with various internal and external stakeholders, ensuring smooth collaboration and coordination. • Assist in development and organization of support materials for meetings and conferences (e.g. slide decks, presentations, meeting materials, etc.) • Prepare and submit expense reports and manage purchase requisitions according to company policies and procedures. • Design and implement office policies and procedures as needed. • Analyze and monitor internal processes and suggest/implement procedural and policy changes to improve operational efficiency. • Partner with Human Resources with various employee experience projects and programs. • Assist with special projects and ad-hoc assignments and programs as requested.

Job Requirements

  • 8+ years of EA experience; 5+ years of experience supporting Sales Executives strongly preferred.
  • Bachelor’s degree preferred.
  • Biotech experience preferred.
  • Calendar management, meeting organization and heavy travel coordination experience.
  • Proficiency with MS Office (e.g. Word, Excel, PowerPoint, Outlook), Adobe Acrobat, DocuSign, Zoom, and Slack.
  • Excellent at prioritizing and executing multiple projects/tasks with tight deadlines while being solution oriented.
  • Proven expertise in written and verbal communication, demonstrating strategic, professional, creative and succinct communication.
  • Pro-active self-starter able to work independently, effectively solve problems and prioritize work, anticipating needs of senior leadership.
  • Highly collaborative and able to work effectively with multiple stakeholders.
  • High level of maturity, and ability to exercise good judgement, discretion and confidentiality in all tasks.
  • Able to remain organized and focused in a fast-paced, high performance startup envioronment.

The Role The Executive Assistant provides high-level administrative and operational support to two senior executives. Key Responsibilities Executive & Administrative Support Provide comprehensive administrative support to the senior executives, including proactive inbox management, calendar prioritization, and scheduling across multiple time zones Exercise sound judgment in triaging requests, identifying urgent and high-impact matters, and sequencing competing priorities Meeting & Communication Management Manage the full lifecycle of executive meetings, including agenda coordination, preparation of professional briefing materials (e.g., bios, presentations, background documents), logistics, and follow-up Document meeting minutes, track action items, and ensure timely follow-through and accountability Act as a central communications liaison between the executive offices, senior leaders, and internal stakeholders, ensuring clarity, responsiveness, and appropriate escalation Travel & Expense Coordination Coordinate complex domestic and international travel in partnership with the Global Relay Travel Team, including flight and accommodation bookings, itinerary planning, and preparation of detailed travel agendas Manage executive expense submissions with accuracy and timeliness, collaborating with Accounts Payable as needed Confidentiality & Professionalism Handle highly sensitive business, financial, and personnel information with the utmost discretion and professionalism Support limited personal scheduling or calendaring needs, where required, in accordance with company guidelines Required Qualifications Compensation: Global Relay advertises the pay range for this role in compliance with applicable pay transparency laws.
