Senior Applications Administrator

Outreach

• Oversee the configuration, installation, and management of several enterprise applications, supporting various business partners. • Upgrade software to the latest specifications, maintain key workflows, and fix issues autonomously for applications you own. • Proactively recommend areas of opportunity that will lead to greater return on investment for purchased software. • Provide expert-level support and troubleshoot for complex application issues. • Resolve technical problems quickly, with minimal need for external support. • Help engineering teams to set up API integrations and document their connections. • Seek areas of automation with connected systems to reduce manual workflows. • Ensure applications and access keys adhere to company security policies. • Flag any concerns for compliance and liaise with the security team for system best practices. • Perform regular seat audits and deprovision users to prevent unnecessary access to applications. • Create and maintain clear and comprehensive documentation for all applications, configurations, and workflows. • Develop and deliver regular reports on application health, historical performance, and roadmap opportunities. • Effectively communicate at all stages of troubleshooting, resolution, and deployment with Business Partners surrounding submitted cases. • Work closely with partners and project teams to consult on the best use cases for systems and offer guidance were possible on development in the business requirements. • Provide training and mentorship to junior team members and end-users. • Work with application vendors and partners during renewal to ensure a smooth contract cycle. • Help perform software evaluations for new business needs and recommend consolidation efforts were possible. • Constantly evaluate competitors in the space to ensure we have a best-in-class tool stack.

Job Requirements

  • Minimum of 5 years of experience as an Applications Administrator or in a similar role
  • Extensive hands-on experience with billing platforms, pricing catalogues, and cash application, particularly Zuora Billing, Salesforce RCA and/or CPQ, and HighRadius; experience with SAP Billing and/or Zuora Revenue is a strong plus.
  • Familiarity with the quote-to-cash process, including invoicing, collections, and revenue recognition.
  • Proven track record of supporting, optimizing, and troubleshooting complex software.
  • Strong knowledge of application workflows, identity management, and administrative UIs.
  • Familiarity with cloud technologies, authentication protocols, and integration processes.
  • Some basic understanding of scripting languages (SQL, JavaScript, HTML, Apex) are a bonus but not required.
  • Excellent problem-solving abilities and critical thinking skills.
  • Strong communication skills, both written and verbal, with the ability to interact effectively with technical and non-technical stakeholders.
  • Ability to work under pressure and manage multiple priorities.
  • Leadership and mentoring abilities to guide junior staff and promote best practices.

Role Description The Member Experience Administrator will perform as a key contributor to the day-to-day execution of membership operations and member-facing engagement across NSTXL's member base. Reporting to the Director of Marketing, the selected Administrator will be responsible for an array of tasks in support of new and existing members throughout the full member lifecycle, including: - Managing the membership inbox - Processing applications - Maintaining member data - Supporting marketing campaigns and communications The Administrator will work closely with various departments, such as Marketing, IT, Finance, and Contracts, to resolve member needs and ensure a consistent and reliable member experience. The role requires a strong administrative skillset combined with customer service, CRM proficiency, and high attention to detail. Essential Duties and Responsibilities: - Performs as the primary owner of the membership inbox, ensuring timely and accurate responses to incoming member inquiries. - Triages and routes member requests to appropriate internal teams when needed. - Tracks member inquiries, response times, and resolutions within CRM systems. - Identifies recurring member questions and supports updates to FAQs and internal resources. - Supports membership application intake, data entry, and tracking through the full application lifecycle. - Supports account setup, onboarding coordination, and renewal processing. - Maintains accurate and up-to-date member records, including contacts and organizational details. - Enters, updates, and maintains member data within CRM systems such as Salesforce or HubSpot. - Supports data hygiene efforts to ensure accuracy and completeness across records. - Assists in list management, segmentation, and basic reporting needs. - Generates routine reports to support internal team visibility into member activity and engagement. - Supports execution of member communications, including email campaigns and announcements. - Assists with preparation and coordination of webinars, events, and engagement initiatives. - Builds and validates audience lists for communications and campaigns. - Supports quality assurance of communications prior to distribution. - Coordinates with internal teams including Marketing, IT, Finance, and Contracts to support member needs. - Follows defined escalation paths to ensure timely resolution of issues. - Maintains clear documentation and communication to support internal collaboration. - Participates in team meetings, training, and ongoing development activities. - Other duties as assigned.
