Job Description

Senior Operations Manager

Trivium Group

• Own the tech stack. Ensure our project management software, CRM, and communication tools are integrated and used properly. • Build the "Knowledge Base." Oversee the creation and maintenance of the vault containing all company SOPs, scripts, and workflows. • Conduct weekly 1:1s with department heads to track progress against quarterly rocks. • Hold the team accountable to the standard. You are the "Keeper of the Bar." • Act as the central hub for major company initiatives (e.g., event launches, geographic expansion). • Ensure projects stay on budget and on schedule, identifying and removing blockers before they stall progress. • Review departmental spending and budgets with the CEO. • Analyze operational data to identify trends in client churn, sales efficiency, and delivery capacity. • Own the cadence: Daily Huddles, Weekly Lead-Team Meetings, and Quarterly Offsites. • Ensure communication is crisp, meetings are productive, and action items are captured.

Job Requirements

  • Senior Leadership Experience: 5+ years in a senior operations role (COO, Director of Ops, or GM) within a professional services, coaching, or high-growth agency environment.
  • Systems Track Record: You must be able to show us the actual systems you have built. If you only "managed a team that built it," you are not the right fit.
  • Remote Discipline: Ability to lead a distributed team across multiple time zones while remaining highly visible and accessible.
  • Eastern Time Alignment: Availability during core ET business hours is mandatory.
  • Software Mastery: Expert proficiency in Project Management (ClickUp preferred), CRM systems (GoHighLevel/HubSpot), and Slack.

Benefits

  • Full health, dental, vision.
  • PTO.
  • Travel covered.

• Investigate and resolve escalations — triage member-facing issues, clinical team tool issues, and cross-platform bugs; gather evidence; identify root cause; and drive resolution with engineering and product. • Identify systemic issues — spot patterns across escalation volume, aggregate similar reports in real time, and flag emerging bugs to technical partners before they scale. • Own designated functional areas — serve as the sole owner of assigned topic areas, managing POC relationships, keeping related Help Center articles accurate and up to date with upcoming releases, and tracking related issues efficiently. • Maintain and optimize Help Center content — create, update, and peer-review articles and macros to meet AI CC optimization standards, ensuring Mary (our AI Care Coordinator) can resolve tickets end-to-end with accuracy. • Build and improve processes — write and maintain SOPs and work instructions for investigation workflows and escalation paths; fix broken processes at the root rather than working around them.
