Role Description The Cardiology Operational Support Specialist is responsible for effective creation, organization, updating, implementation, monitoring, and reporting of provider, resource, and department scheduling templates. They will template standard work and maintain department templates with a high degree of accuracy and timeliness in collaboration and alignment with service line leadership goals. The specialist will work to create and implement revenue cycle operational policies, procedures, and processes to ensure the highest quality services are provided to all customers. - Create and maintain strong collaborative relationships with cardiovascular department leaders regarding planning, training, and caregiver support. - Demonstrate outstanding customer service skills, relationship building ability, communication skills, and strong leadership of assigned areas of oversight. - Ensure St Charles Heart and Lung goals of efficiency, quality, and caregiver and patient satisfaction are met. Qualifications - High School Diploma or GED (Required) - Bachelor’s Degree (Preferred) - Epic Cadence Certification (within 1 year of hire date) (Preferred) - Three (3) years of experience in a healthcare setting (Required) Requirements - Ensure that the Epic Cadence and Prelude build is tested and implemented to support daily operations. - Serve as a subject matter expert for cardiovascular patient access functions, templates, and reporting. - Accountable for a high degree of accuracy for all St Charles Heart and Lung template resources. - Provide customer service in a manner that promotes goodwill, is timely, efficient, and accurate. - Assist as an operational resource for scheduling and registration functions and roles. - Interface with the health system’s information systems and IT teams to develop reports and dashboards. - Maintain full knowledge of cardiovascular scheduling and registration operations. - Collaborate with teams to review processes and identify/implement opportunities for improvements. - Support the vision, mission, and values of the organization in all respects. - Conduct all activities with the highest standards of professionalism and confidentiality. - Comply with all applicable laws, regulations, policies, and procedures. - May perform additional duties of similar complexity within the organization, as required or assigned. Physical Requirements - Continually (75% or more): Use of clear and audible speaking voice and the ability to hear normal speech level. - Frequently (50%): Sitting, standing, walking, lifting 1-10 pounds, keyboard operation. - Occasionally (25%): Bending, climbing stairs, reaching overhead, carrying/pushing or pulling 1-10 pounds, grasping/squeezing. - Rarely (10%): Stooping/kneeling/crouching, lifting, carrying, pushing or pulling 11-25 pounds, operation of a motor vehicle. - Never (0%): Climbing ladder/step-stool, lifting/carrying/pushing or pulling 25-50 pounds, ability to hear whispered speech level.

• Own end-to-end coordination of brand campaigns, ensuring programs are executed on time and at a high standard • Manage logistics including shipping, production, and communication with Event Organizers • Coordinate with 3PL and creative partners on quotes, timelines, production, and invoicing • Ensure all campaign details are accurately tracked and executed across systems • Serve as the primary point of contact for Event Organizers during active campaigns • Drive offer acceptance by proactively reaching out via email, phone, and SMS • Respond to inquiries and resolve issues quickly to ensure a seamless experience • Build strong relationships with organizers to support repeat participation and long-term growth • Manage billing workflows, ensuring accuracy and timely processing • Partner with finance and internal teams to maintain compliance and resolve discrepancies • Maintain up-to-date Organizer profiles, including contact, billing, and logistics information • Partner closely with Account Managers and Coordinators to support account strategy and execution • Communicate client goals and campaign needs to internal teams • Document activity and maintain accurate records in CRM and internal tools • Identify and recommend ways to improve internal processes and campaign execution • Provide feedback on product performance and usability • Proactively troubleshoot issues and help reduce inefficiencies across workflows
• Respond to technical issues escalated by customers • Act as a liaison between operations, the client, and Engineering/Development • Respond to end user request for assistance using existing manuals and scripted responses • Effectively interact with customers and refer ongoing issues to engineering support team
