Role Description The Child Center of NY, Inc., a not-for-profit social services agency serving children and families throughout New York City, is seeking a Legal & Compliance Operations Associate to serve as a key partner in our Legal & Compliance Department. Reporting to the General Counsel, this role is designed for a self-motivated professional who enjoys building efficient systems and ensuring operational excellence within a mission-driven organization. Key Responsibilities: - Assist with day-to-day operations of the compliance program, including helping to ensure adherence to internal policies, regulatory requirements, and external reporting obligations. - Serve as the primary administrator for the department’s contract management system. - Organize and maintain legal and compliance records, including incident documentation, board governance materials, and policy archives. - Support HIPAA compliance efforts, including responding to medical records and information requests, tracking access logs, and maintaining related documentation. - Assist with the documentation and tracking of compliance-related incidents and follow-up actions across a variety of programs and departments. - Help draft, format, update, and distribute agency policies and procedures in collaboration with legal and compliance leadership. - Track policy dissemination and assist with staff acknowledgment processes. - Conduct legal and regulatory research to support compliance and risk management activities. - Provide administrative support for audits, internal reviews, and external monitoring activities. - Support the department’s response to subpoenas, contract reviews, and information requests, as needed. - Coordinate scheduling, file management, and workflow tracking for the Legal and Compliance Department. - Perform other duties as assigned to support the legal and compliance needs of a growing and diverse nonprofit agency. Qualifications - Minimum of two (2) years of experience as a paralegal, compliance specialist, or similar legal/compliance support role. - Prior experience in healthcare, behavioral health, or human services settings strongly preferred. - Knowledge of or exposure to HIPAA, 42 CFR Part 2, and general regulatory compliance principles. - Demonstrated ability to maintain confidentiality and handle sensitive information with professionalism. - Excellent organizational, analytical, and communication skills. - Strong attention to detail and ability to manage multiple priorities in a fast-paced environment. - High proficiency with Microsoft Office Suite (Word, Excel, Outlook, SharePoint); familiarity with compliance management systems or document management software a plus. - Associates Degree or Bachelors Degree preferred. Work Environment - This is a fully remote position. - Must be available to work standard business hours (Eastern Time).
