Property & Legal Operations Manager, Bilingual French – English

- **Immediate Court File Readiness:** - As soon as a legal file is opened, you must prepare the **entire evidence folder immediately**. - All documents, proof of service, and lease copies must be organized and "court-ready" the moment the case starts—**do not wait for the court date.** - **Proactive Lease Renewals:** - Monitor lease expirations daily. - Prepare and send out renewal notices **at least 5 months** before the end date to ensure zero missed deadlines. - **Strict Rent Collection:** - Monitor building software daily. - On the 2nd of the month, send firm reminders via text and email. - Maintain a clear "paper trail" of all communications for legal proof. - **Legal & Bailiff Coordination:** - File cases with the court for non-payment or lease violations. - Manage the bailiff (huissier) process and keep a detailed log of what was sent and when it was served. - **Vacancy Management:** - Maintain a real-time **Google Sheet** of vacant units and upcoming move-outs. - Immediately respond to tenants trying to break leases, making it clear they remain **fully responsible** for the contract.

Job Requirements

  • Bilingualism:** The candidate must be fluent in both English and French (mandatory for legal filings).
  • Strong Organizational Skills (“Top-of-Mind” Organization):** Able to independently manage both their own calendar and the court’s calendar without requiring reminders.
  • Professional & Firm Communication:** Capable of handling difficult conversations with tenants while maintaining a professional, firm, and composed approach.
  • Proactive Mindset:** Anticipates potential issues in advance and takes initiative to prepare solutions (e.g., planning ahead for vacancies or operational needs).
  • Preferred Qualifications:
  • Experience in property management or legal operations within a real estate environment
