As a Group Air Coordinator, you will play a key role in supporting meetings, events, and group movements ranging from 10 to 5000+ travelers. You will liaise among the client, the internal operations team, and the KAYAK team to ensure all program requirements are accurately identified, operationalized, and communicated to facilitate superior service and a positive customer experience. Support will be provided to event planners and guest attendees throughout the entire process, including initial requirements definition, policy groups, guest profile management, and reconciliation support. This role is ideal for a detail oriented, GDS proficient professional who prioritizes logistics, service excellence, and the coordination of end-to-end group travel experiences. Success in this position requires working across various organizations to ensure all necessary planning and execution details for group movements are identified, documented, and actioned. This function demands strong communication, collaboration, attention to detail and organizational skills to effectively support client meeting programs and operational objectives. Responsibilities: Group Travel & Event Coordination: - Collaborate with meeting planners and budget owners to identify group/event requirements, understand policies, and consult on best practices - Provide communication, operational support and training as needed in the planning and execution of each meeting - Liaise with the various internal stakeholders to ensure all meeting and reporting requirements are built in the necessary tools and communicated to Operations Team Leaders and Workforce Management Teams for effective execution - Support event-specific air matrices, manifests, and reconciliation research and reporting to ensure transparency and financial accuracy - Support change management and service recovery planning in cases of travel disruption, event pivots or volume fluctuations - Serve as a subject matter expert on the event tools and associated processes with clients and internal partners - Support guest profile management and consultation in collaboration with our technology partners - Support virtual payments via Conferma for select guests Requirements - 5+ years in corporate travel with 3+ years in corporate group travel coordination and meeting planning - Proficient in a GDS (Amadeus preferred) and online booking / meeting tools - Exceptional oral and written communication skills, with a customer service-first approach - Strong relationship management and interpersonal skills; assertiveness and patience to juggle changing priorities and industry disruptions - Excellent organizational skills, attention to detail and ability to manage - Experience working with airline contracts, supplier communications and group travel policies - Advanced proficiency using Microsoft Office, Google Workspace and other administrative tools for data tracking, analyses and communication Why Join Us?
