Role Description The Estate Planning Operations Specialist provides daily, ongoing administrative support for the Estate Planning group. This role is responsible for processing outgoing and incoming estate plans and may perform a wide range of support activities to facilitate clients through the estate planning process. This role requires excellent attention to detail and strong written communication skills. - Shipping, scanning, and assembling estate plans and other related documents - Preparing materials for client meetings - Coordinating referrals to the Estate Planning group from wealth management teams - Assisting with managing client intake process for Estate Planning team including creation of folders, inputting initial data into CRM, and ensuring all data is accurate and complete - Coordinating scheduling of initial client estate planning meetings - Assisting with ad hoc projects - Performing general administrative tasks, as needed - Other duties, as needed Qualifications - High school diploma or equivalent - Outstanding work ethic and a self-starter - Ability to meet deadlines and perform under pressure, by prioritizing and multi-tasking in a busy environment - Outstanding communication and organizational skills - Proficiency with MS Word, Excel, Adobe and Outlook - Able to maintain confidentiality with all matters - Have a “can-do” positive attitude and enjoy being part of a team - Eager to become an expert in the position Requirements This professional role requires availability during standard business hours of Monday through Friday from 8AM to 5PM. At times, the role may have early or late hours to meet business tasks and deadlines for external and internal client needs. - All roles classified as non-exempt are required to record working time into the timekeeping system daily at the start and end of each workday plus a 30-minute unpaid lunch period.
