You will be responsible for handling key operational elements of the event lifecycle, supporting the wider team, and maintaining a smooth flow of communication across all departments. Key Responsibilities Project Management Work closely with the Executive Producer, ensuring team is up-to-date on project progression, timelines, and key team deliverables. Delegate and Manage Tasks Help distribute tasks to team members and suppliers, ensuring everyone knows their roles and responsibilities. Maintain project documentation, keeping schedules and timelines accurate. Own the critical path and ensure that key milestones are met Day-to-day management of the event team working on the project Ensure smooth running of the team on the project, the first point of escalation for any queries from the event team. Operational Management Coordinate logistics and resources across multiple teams (creative, technical, operations), ensuring that all aspects of the event are on track and executed seamlessly. Pre-Event Brief Development Collaborate with the Executive Producer and Account Director/Account Manager in taking client briefs and writing detailed project briefs for the internal team and external suppliers, ensuring all requirements are met. Project Setup Set up projects on internal systems (e.g., Asana, Procim) and activate necessary processes, timelines, and resources for the team. Work with the client to agree on best methods of communication between teams and their preferred processes and systems. Meeting Coordination & Documentation Prepare and circulate agendas for client meetings, team meetings, and internal reviews, ensuring that all necessary topics are covered and discussions stay on track. Attend meetings, take detailed call notes on key decisions, action points, and follow-up items, and promptly distribute them to relevant team members and clients to ensure clarity and accountability. Budget & Cost Management Create, manage, and track project budgets in real-time, ensuring that financial aspects of the project stay within budget. Monitor profit margins and identify upselling opportunities. Keep the budget up-to-date with any changes and regularly communicate financial status to the Executive Producer, AD/AM and relevant stakeholders. Take ownership of change orders. Critical Path Management Maintain and update the project's critical path, ensuring all deadlines are met and that all tasks are completed according to schedule. Ensure that any potential delays are flagged and addressed promptly. Team Support Provide support in managing team workflows, ensuring adherence to project timelines, and ensuring all tasks are completed on schedule. Assist with supplier management, venue logistics, registration processes, and other key event elements. May be required to line manage other team members, e.g. Project Coordinators. Project Deadlines Take responsibility for managing and tracking key project milestones, ensuring all deadlines are met and that the project stays on track. Regularly update the team on progress and any potential delays. Team Travel & Accommodation Can be delegated to other team members, but ultimately responsible for managing the logistics for team travel and accommodation, ensuring all arrangements are made in a timely and cost-effective manner. This includes booking flights, hotels, and transportation for on-site event management or site visits. Supplier & Venue Strategy Research New Suppliers & Venues Regularly research and evaluate new suppliers, venues, and service providers to ensure our supplier and venue database remains current, relevant, and competitive. This includes staying informed about the latest trends and innovations in the event industry. Industry Events & Networking Attend industry events, conferences, and networking opportunities to keep up-to-date with new suppliers, technologies, and event trends. Build relationships with potential partners and suppliers to enhance the company's capabilities and keep our event offerings fresh and strategic. Contribute to Proposals & Strategy Ensure that all supplier and venue recommendations align with client needs and event strategies. Collaborate with the Executive Producer in incorporating new, innovative solutions into event proposals and pitches, enhancing our competitive edge in the market. Event Day On-Site & Virtual Support Managing suppliers, coordinating teams, troubleshooting issues, and ensuring smooth event execution. This includes both virtual and on-site events Client & Team Liaison Ensure that the client experience is seamless, handling any last-minute changes, issues, or requests. Support producers and the event team in the day-to-day event management. Problem Solving Be a key support to the team, identifying and solving any operational issues that arise on the day of the event, reporting critical information to key team members. Distribute the onsite running orders / function sheets to all teams and lead briefing meetings where needed. Post-Event Event Debriefs Assist in gathering feedback from the team and the client after the event. Participate in debriefs, compiling reports and notes to ensure lessons learned are captured for future projects. Budget Reconciliation Track and reconcile budgets post-event, ensuring all financial documentation is accurate and submitted in a timely manner. Client Follow-Up Support the creation of post-event communications and case studies, ensuring the client is satisfied and encouraging repeat business opportunities. Work with EP and ADM to agree on best practices for future event organisation with the client.
