• ensure that growth translates into clear, stable, and scalable structures • create a foundation that allows legal topics to be handled properly, evolve, scale with our growth, and function effectively on an international level • take on a central role in organizing and structuring our legal operations • establish and maintain a clear, future-proof filing system for contracts and legal documents • structure digital records and ensure that information remains easily accessible and understandable over time • ensure reliable deadline tracking and create transparency around ongoing topics and responsibilities • support corporate law-related matters in the area of corporate housekeeping • maintain documentation and overviews, and coordinate processes with notaries and external partners • take care of the structured administration of our insurance topics • prepare documents and templates, support administrative processes, and ensure that information flows clearly between Legal, internal stakeholders, and external partners • identify recurring patterns in day-to-day work and translate them into practical, standardized processes that make our legal setup more efficient
Job Requirements
- a completed vocational training, e.g. as a paralegal (ReNo), legal specialist, or a comparable qualification with a legal focus
- several years of practical experience (approx. 3–7 years) in a law firm, in-house legal department, or a similar environment
- solid experience in structured document and records management (physical and digital), along with a strong understanding of formal legal documentation requirements
- initial hands-on experience in corporate housekeeping, particularly in handling corporate documentation and formal processes
- a good understanding of workflows in legal departments or law firms, as well as the ability to quickly familiarize yourself with new topics and structures
- a structured, reliable, and self-driven way of working, combined with strong organizational skills and the ability to think ahead
- very good German and English skills, both written and spoken

**ROLE OVERVIEW:** This role is central to the smooth running of the firm's property practice, managing conveyancing transactions from instruction through to settlement, working directly within the NZ land transfer and title system, and liaising with clients and relevant parties throughout the process. The ideal candidate has solid New Zealand conveyancing experience, is confident using Land Online and a practice management system such as One Law or Smokeball, and can work independently while maintaining the firm's high standard of communication and accuracy. **RESPONSIBILITIES:** - Manage conveyancing transactions end-to-end, from initial instruction through to settlement - Liaise with clients, real estate agents, banks, and other relevant parties via email and phone throughout the transaction process - Work within the NZ land transfer and title system, including preparing and processing title dealings via Land Online (LINZ) - Prepare, review, and complete all settlement documentation and deliverables in line with NZ conveyancing requirements - Coordinate settlement logistics including settlement statements, requisitions, and confirmation of conditions - Maintain accurate, up-to-date records and file notes within the One Law practice management system (or equivalent) - Communicate proactively with clients to keep them informed at each stage of their transaction - Liaise with government departments and relevant authorities as required throughout the conveyancing process - Support the principal lawyer with file management and any additional tasks as needed
