• Managing corporate formations and filings across U.S. jurisdictions • Organizing and maintaining virtual data rooms (structure, naming, version control) • Preparing closing binders and post-closing deliverables • Drafting and circulating signature packets and coordinating execution • Tracking deal timelines, checklists, and outstanding items across multiple parties • Assisting with ancillary documents (officer certificates, secretary certificates, resolutions) • Supporting legal research and general administrative needs such as calendaring and following up with internal and external contacts on outstanding tasks
Job Requirements
- Minimum 2 years of experience in a legal setting (law firm or in-house legal department)
- Exposure to corporate, transactional, or M&A work strongly preferred
- Strong written and spoken English (near-native level expected in professional settings)
- Ability to draft professional emails and review documents without language supervision
- Highly organized with strong attention to detail and follow-through
- Comfortable working across multiple matters simultaneously

**ROLE OVERVIEW:** This role is central to the smooth running of the firm's property practice, managing conveyancing transactions from instruction through to settlement, working directly within the NZ land transfer and title system, and liaising with clients and relevant parties throughout the process. The ideal candidate has solid New Zealand conveyancing experience, is confident using Land Online and a practice management system such as One Law or Smokeball, and can work independently while maintaining the firm's high standard of communication and accuracy. **RESPONSIBILITIES:** - Manage conveyancing transactions end-to-end, from initial instruction through to settlement - Liaise with clients, real estate agents, banks, and other relevant parties via email and phone throughout the transaction process - Work within the NZ land transfer and title system, including preparing and processing title dealings via Land Online (LINZ) - Prepare, review, and complete all settlement documentation and deliverables in line with NZ conveyancing requirements - Coordinate settlement logistics including settlement statements, requisitions, and confirmation of conditions - Maintain accurate, up-to-date records and file notes within the One Law practice management system (or equivalent) - Communicate proactively with clients to keep them informed at each stage of their transaction - Liaise with government departments and relevant authorities as required throughout the conveyancing process - Support the principal lawyer with file management and any additional tasks as needed
