Job Description

Operation Coordinator

Prometeo Talent

• Support key HR, administrative, and IT coordination processes in a fast-paced remote environment • Coordinate onboarding and offboarding processes using established checklists • Maintain employee and contractor records, including internal directories and org charts • Assist with basic employee inquiries and route questions to the appropriate contacts • Track key employee data such as start dates, terminations, and role changes • Review and track state-level communications and escalate when needed • Coordinate payment calculations with the Accounting team • Create and deactivate user accounts based on approved requests • Manage email distribution lists and aliases • Provide basic Tier 1 support, including password resets and access troubleshooting, and escalate issues as needed • Assist with meeting scheduling and administrative coordination • Maintain shared trackers related to onboarding, offboarding, and access logs • Coordinate with internal teams and external vendors to support daily operations • Prepare recurring reports such as open headcounts and departmental headcounts • Maintain accurate and up-to-date operational data

Job Requirements

  • Strong English communication skills, both written and verbal
  • 2+ years of experience in administrative, operations, HR support, or similar roles
  • Strong organizational skills and excellent attention to detail
  • Experience working with remote teams, preferably U.S.-based
  • Comfortable following structured processes and checklists
  • Proficiency with Microsoft Office, Google Workspace, and collaboration tools such as Slack or Teams
  • Availability to work during EST business hours
  • High level of discretion when handling sensitive information

Role Overview: We are looking for a data-driven and creatively minded Marketing / Meta Ads Specialist to take ownership of the client’s paid social campaigns and email marketing performance. In this role, you will be responsible for planning, launching, analysing, and optimising Meta advertising campaigns, while also supporting EDM campaign performance in Klaviyo. This role requires someone who goes beyond simply posting ads; you’ll be expected to interpret campaign data, improve targeting strategies, identify growth opportunities, and help drive measurable results across the product side of the business. This is an ideal opportunity for a well-rounded digital marketer who combines technical advertising expertise, creative thinking, and strong analytical skills, preferably with exposure to health, wellness, or e-commerce brands. Key Responsibilities:  - Build, launch, and manage high-performing Meta Ads campaigns across Facebook and Instagram - Monitor ad performance metrics and optimise campaigns based on ROAS, CTR, CPA, conversion rates, and audience insights - Conduct audience testing, creative testing, and funnel optimisation to improve campaign outcomes - Analyse campaign data and provide actionable insights to improve ad performance and maximise return on ad spend - Support the setup, optimisation, and reporting of EDM campaigns in Klaviyo - Develop audience segmentation strategies for email marketing campaigns to improve customer engagement and conversions - Collaborate on marketing creatives, messaging, and promotional strategies aligned with business goals - Assist in rebuilding and scaling the product-side marketing campaigns following recent business expansion - Track marketing performance across channels and identify opportunities for continuous improvement - Work closely with the business owner to learn and implement internal marketing systems and strategies Required Skills and Qualifications: - Proven experience managing and optimising Meta Ads campaigns with strong knowledge of campaign structure, audience targeting, and performance optimisation - Strong analytical skills with the ability to interpret advertising metrics and make data-driven decisions - Hands-on experience with Klaviyo or similar email marketing platforms, including campaign optimisation and audience segmentation - Strong understanding of digital marketing funnels, conversion tracking, and paid social best practices - Ability to identify performance issues and proactively recommend campaign improvements - Experience creating or collaborating on marketing creatives and ad messaging strategies - Strong organisational skills with the ability to manage multiple campaigns and priorities independently - Excellent written and verbal communication skills - Experience in e-commerce, health, wellness, or consumer products marketing is highly desirable - Ability to work independently in a remote environment while collaborating effectively with stakeholders Work Arrangement & Expectations: This is a remote role that will be set up as an independent contractor engagement.
