The Proposal Specialist is responsible for supporting the full proposal lifecycle. They will support the design and development of proposals, qualification packages, and other custom marketing materials. This role requires strong writing skills, attention to detail, and the ability to coordinate information across multiple departments and partners. Your Primary Responsibilities will include - Collaborate closely with Proposal Managers and the Marketing team to gather information, align messaging, develop proposal content, and ensure a consistent and compelling client-facing presentation. - Coordinate proposal development activities for RFQs, RFPs, SOQs, presentations and interview materials from kickoff through final submission. - Collaborate closely with leadership, business development leaders, project managers, technical staff, subconsultants, and consultant partners to gather, refine, and develop proposal content while ensuring timely integration of information from multiple sources. - Write, edit, and tailor proposal narratives and RFP/RFQ responses for clarity, accuracy, compliance, readability, grammar, spelling, persuasiveness, and alignment with client requirements. - Ensure proposal deliverables meet client requirements, formatting standards, brand guidelines, and submission deadlines for both digital and physical submissions. - Develop and maintain proposal schedules, outlines, compliance matrices, content checklists, project profiles, staff resumes, CRM records, templates, and supporting documentation. - Utilize advanced Microsoft Office Suite skills, including Outlook, Teams, Word, Excel, and PowerPoint, along with Adobe Creative Cloud tools such as InDesign, Photoshop, Illustrator, and Adobe Pro to support graphics, layout, formatting, and document design. - Apply knowledge of municipal, construction, water, wastewater, and transportation industries to support pursuit strategy, technical content development, and proposal positioning. - Track and organize proposal assets, data, and supporting materials to improve consistency, efficiency, and quality across pursuits. - Manage competing priorities and deadlines in a fast-paced environment while representing the company’s mission and values through high-quality work and a positive, solutions-orientated approach. What you'll need - Bachelor's degree in English, Communications, Marketing, Journalism, Technical Writing, or Marketing or similar discipline. - 3-5 years of experience in architecture, engineering or construction (A/E/C) industry. - Exceptional writing, editing, and proofreading skills with attention to detail. - Strong Project Coordination and deadline management capabilities. - Ability to work independently, manage multiple assignments, and maintain attention to detail. - Collaborative, professional communication style and strong interpersonal skills.
