Automation and Systems Specialist

Role Description We’re looking for a Systems & Automation Builder to take ownership of our digital operations across multiple business units. This is a hands-on builder role, not an administrative support role. You will design, connect, and improve the systems that power how the business runs — across marketing, education, community, support, and internal operations. If you enjoy building automations, connecting tools, and improving how systems work together, this role will suit you well. - Own and maintain key business platforms (LMS, websites, email marketing, support systems, and internal tools) - Build and manage automations using Zapier or similar tools - Connect systems across marketing, sales, LMS, CRM, and support workflows - Fix broken integrations and improve data flow across platforms - Lead key system rollouts including Klaviyo migration and Freshdesk setup - Support the rollout of AI tools such as chatbots and LMS-based learning assistants - Improve onboarding, lead management, and operational workflows - Support internal teams with access, setup, and basic system guidance Why the role is different: - You are owning the systems, not just supporting them - You will build and design workflows, not just execute tasks - You will directly influence how the business scales operationally - You’ll work closely with leadership on key system decisions Qualifications - Experience working with multiple SaaS platforms in a business environment - Strong hands-on experience with automation tools (Zapier, Make, or similar) - Experience building workflows and system integrations (not just using tools) - Familiarity with tools like Google Workspace, WordPress, and email marketing platforms (Klaviyo, ActiveCampaign, Mailchimp, etc.) - Strong problem-solving skills and ability to work independently Requirements - Experience with Klaviyo migration or setup - Experience with Freshdesk or similar ticketing systems - Exposure to LMS platforms (Moodle or similar) - Experience with AI tools, chatbots, or automation agents - Background in digital operations, RevOps, or IT-to-operations roles Work Arrangement & Expectations This is a remote role that will be set up as an independent contractor engagement. The IP Services Assistant is responsible for reviewing daily dockets, handling correspondence, and helping prepare and e-file documents with the USPTO and other agencies. The IP Services Assistant works closely with attorneys, clients, and paralegals to ensure procedures are followed, deadlines are met, and records are accurately maintained. Essential Duties and Responsibilities: - Prepare documents for USPTO patent filings. - Draft routine reporting letters to send to clients and foreign associates. - Create inventor formality documents for signature, to be submitted to the U.S. Patent and Trademark Office (USPTO). - Respond to client instructions, including confirming and drafting responses to inquiries related to U.S., PCT, and foreign applications. - Utilize electronic resources from the USPTO and other government agencies. - Monitor and manage deadlines for the U.S. and foreign docket, ensuring timely follow-up with attorneys, clients, and management. - Collaborate with the IP docket department to clear daily docket reports according to firm guidelines. - Review client information to ensure compliance with special client instructions and procedures. - Maintain spreadsheets related to portfolio management for specific clients. - Develop and update worksheets to assist attorneys in managing client needs. - Stay informed on rules, regulations, and procedures for filing domestic and international applications, working closely with attorneys. - Complete checklists, such as filing or Issue Fee checklists. - Save documents and correspondence in iManage, the firm’s document management system. - Prioritize daily tasks and communicate if unable to meet deadlines. - Provide back-up support to team members. - Collaborate with the Paralegal and Attorney teams. - Track and record client-billable time to meet billable requirement. - Track and record non-billable time in accordance with firm policy. - Ensure adherence to policies and procedures in daily duties, including client-specific instructions and firm guidelines. Summary: Baylor Genetics, one of the world leaders in clinical molecular genetics, is excited to announce an opening in the Clinical Genomics Interpretation (CGI) division. The “Molecular Genetics Analysis Assistant” will either join the QC Team or the WGS Clinical Indication Team. As part of the QC Team, the “Molecular Genetics Analysis Assistant” performs quality control at the sample and variant level, reviews genetic sequencing data to determine variant identity based on HGVS standards, orders variant confirmations, analyzes trinucleotide repeat expansion and other assays, interprets patient test order requisitions, and monitors the status of clinical cases. As part of the WGS Clinical Indication Team, the “Molecular Genetics Analysis Assistant” reviews clinical notes and converts clinical phenotypes into Human Phenotype Ontology (HPO) terminology, records prior genetic testing history, interprets family history from pedigrees, and confirms consent answers from test requisition forms. Additional duties may also include variant curation or report drafting. The Molecular Genetics Analysis Assistant position is a remote work opportunity, with daily huddles, clear objectives, and flexible scheduling.
