Senior Executive Assistant

• Provide high-level administrative and operational support to senior executives • Anticipate priorities and proactively manage schedules, commitments, and deadlines • Prepare briefing materials, agendas, reports, and presentations for meetings • Manage complex, multi-time-zone calendars with precision and foresight • Triage and prioritise inbox communications, draft responses, and escalate where necessary • Coordinate internal and external meetings, ensuring optimal use of executive time • Act as a key point of contact between the executive and internal/external stakeholders • Liaise confidently with clients, partners, and senior leaders • Ensure timely follow-ups and track all outstanding actions • Track priorities, projects, and deadlines on behalf of the executive • Support execution of strategic and operational initiatives • Maintain structured systems for task tracking, updates, and reporting • Coordinate domestic and international travel arrangements, including itineraries and accommodations • Ensure seamless travel planning with contingency considerations • Prepare confidential documents, executive summaries, and business reports • Support documentation and presentation development as required • Maintain accurate records and organised filing systems • Handle sensitive information with the highest level of discretion • Represent the executive office with professionalism and integrity at all times

Job Requirements

  • 5+ years of experience in an Executive Assistant or Chief of Staff Role
  • Proven experience supporting senior executives or C-suite leaders
  • Exceptional organisational and time-management skills
  • Strong written and verbal communication skills
  • High proficiency in Microsoft Office and/or Google Workspace
  • Experience with productivity and project management tools (e.g., Total Synergy, Asana, Notion, Slack, Trello)
  • Ability to work independently, take initiative, and make sound decisions
  • Strong attention to detail and ability to manage competing priorities
