Job Description

Program Administrator

Sphera

• Support the Principal Program Manager in daily administration of program operations across sustainment, modernization, training, customer support, and reporting activities. • Maintain integrated calendars, milestone trackers, action-item logs, staffing trackers, and deliverable schedules. • Track recurring contract milestones, reporting requirements, and administrative deliverables; coordinate internal follow-up across functional teams. • Assist with onboarding coordination for program personnel, including staffing updates, common access card (CAC) applications and submittals, and required administrative records. • Prepare, compile, format, and route recurring program reports, briefings, staffing updates, meeting minutes, and deliverable packages. • Support maintenance of the program management plan, schedules, work breakdown structures, staffing artifacts, and responsibility matrices. • Maintain version control, submission records, and review comment tracking; track revisions, approvals, and final disposition of artifacts. • Coordinate meetings (kickoffs, status reviews, leadership briefings); prepare agendas, capture minutes, maintain action trackers, and follow up through closure. • Maintain program risk and issue logs with owners, mitigation actions, due dates, and status; coordinate with technical teams on open issues and closures. • Maintain organized repositories for program documentation, templates, correspondence, and deliverables, supporting audit readiness. • Coordinate logistics for onsite and virtual training sessions; support travel administration and trip reporting. • Assist with monthly invoice support by organizing performance back-up, deliverable status, and administrative documentation; coordinate with finance and program leadership.

Job Requirements

  • Bachelor's degree in business, project management, public administration, information systems, or similar (or equivalent experience).
  • 5+ years of experience in program support, project administration, PMO support, contract administration, or project coordination.
  • Experience in contract compliance including FAR/DFARS, cost analysis, and subcontracting administration.
  • Experience supporting software, IT services, sustainment, SaaS, or government programs.
  • Strong organizational, written, and verbal communication skills; proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams).
  • Experience maintaining schedules, action logs, meeting minutes, document repositories, and reporting artifacts with strong attention to detail.
  • U.S. citizen, eligible to obtain and maintain a favorable DoD/DOW background investigation at the ANACI / Tier 3 level (or equivalent).
