We’re hiring a Virtual Executive Assistant to support the Co-Founders of Little Pixies Studios, a fine-art portrait brand creating magical, storybook-style photography experiences. This is a high-trust, high-speed partnership. You’ll be the operational force that keeps communication flowing, projects moving, and the founders focused on highest-leverage work. Important: This is not an administrative assistant role. It’s an ownership role. You will run things, make judgment calls, and deliver outcomes. That’s why it doesn’t pay like admin. Role Your job is leverage through ownership; create clarity, remove friction, and take projects from brief to done. You’ll manage founder communications and customer queries, coordinate light social execution, and jump into ad-hoc projects as needed (e.g., influencer outreach ) while installing simple systems that keep everything moving. Responsibilities - Own day-to-day communication loops: triage inbox/messages, draft/send replies in-voice, escalate only true signal. - Own customer/community support: fast, warm, on-brand responses; track and close every thread. - Own project execution: turn broad prompts into clear plans, timelines, and delivered outcomes (e.g., research, outreach, supplier coordination, simple SOPs). - e.g. currently we need support for social media operations: schedule posts, organise assets, draft captions/replies, track engagement. - Maintain clean systems for tasks, notes, docs, and decisions (Google Workspace, Jira). - Proactively surface risks, dependencies, and next actions; close loops without reminders. - Assist with calendar/scheduling and help improve time-management rhythms. - Use AI tools (e.g., ChatGPT) to accelerate research, writing, and first drafts, then execute the real-world steps. Results - Founder communications and customer queries are answered quickly, accurately, and on-brand. - Priority projects ship on time with minimal founder involvement. - Systems reduce chaos; future work becomes faster and easier. - Founders spend more time in high-leverage work; less time context-switching. - No dropped balls: commitments are tracked and closed. Requirements - 3–7 years in executive support, operations, or project execution (remote preferred). - Excellent English (written/spoken); can write in founder/brand voice. - Outcome Ownership.
