Sr. Event Technology Project Coordinator

Role Description The Sr. Event Technology Project Coordinator will fill support roles, workstream lead roles, or lead small project teams within Event Technology & Registration. They may serve as a lead on small- to medium-scale events, and/or in a support capacity on medium- to large-scale events. This role is responsible for supporting and project managing event registration and attendee-facing digital platforms. - Work with clients and other stakeholders to scope, build, launch, and maintain digital event experiences. - Manage the attendee registration process and support event attendees through customer service. - Manage attendee data and reporting. - Support and manage onsite operations for related workstreams, including badge pick-up/attendee check-in, attendee help desk, session scanning deployment, and content management functions. - Independently manage one’s own work and a small team’s deliverables over extended planning cycles. - Ensure planning deadlines are proactively met, budgets are maintained, and client needs are anticipated and exceeded. Qualifications - 2-3+ years of experience in a relevant role is required, with preference for experience in corporate events. - Experience with tools: Rainfocus, Swoogo, Stova, Bizzabo, Cvent, Eventbase, Airtable. - Proven experience in coordination of projects or events successfully from concept to execution. - Bachelor's degree from a four-year institution is preferred. Requirements - Lead the customer service workstream within a project, supporting helpdesk personnel, creating resources, and serving as an escalation and triage point. - Act as the primary point of contact for clients, internal stakeholders, and/or vendors for all event technology and registration workstreams. - Serve as overall Event Technology and Registration lead on small to mid-sized projects, and as a workstream lead on large projects. - Oversee all assigned tasks on multiple concurrent projects across event types. - Develop, maintain, and drive workback schedules. - Lead and support the planning, execution, and closeout of attendee-facing event technology projects. - Demonstrate proficiency in digital platforms and tools; consult clients on user experience best practices. - Create and maintain internal process documentation. - Manage and support documentation and content for platform/tool builds. - Lead recurring client and team meetings; participate in platform demos and technical discussions. - Proactively identify potential risks and develop robust mitigation strategies. - Deliver projects within time and budgetary requirements. - Oversee complex onsite deployments, including for badge pick-up and session scanning. - Participate in internal trainings and recommend process and resource improvements.
