If you’re exceptional at what you do and align with our core values, Competitive Greatness, Sincere Candour, and Unimpeachable Character, we want to meet you. We’re hiring a Virtual Executive Assistant to support the Co-Founders of Little Pixies Studios, a fine-art portrait brand creating magical, storybook-style photography experiences. This is a high-trust, high-speed partnership. You’ll be the operational force that keeps communication flowing, projects moving, and the founders focused on highest-leverage work. Important: This is not an administrative assistant role. It’s an ownership role. You will run things, make judgment calls, and deliver outcomes. Role Your job is leverage through ownership; create clarity, remove friction, and take projects from brief to done. You’ll manage founder communications and customer queries, coordinate light social execution, and jump into ad-hoc projects as needed (e.g., influencer outreach ) while installing simple systems that keep everything moving. Responsibilities - Own day-to-day communication loops: triage inbox/messages, draft/send replies in-voice, escalate only true signal. - Own customer/community support: fast, warm, on-brand responses; track and close every thread. - Own project execution: turn broad prompts into clear plans, timelines, and delivered outcomes (e.g., research, outreach, supplier coordination, simple SOPs). - e.g. currently we need support for social media operations: schedule posts, organise assets, draft captions/replies, track engagement. - Maintain clean systems for tasks, notes, docs, and decisions (Google Workspace, Jira). - Proactively surface risks, dependencies, and next actions; close loops without reminders. - Assist with calendar/scheduling and help improve time-management rhythms. - Use AI tools (e.g., ChatGPT) to accelerate research, writing, and first drafts, then execute the real-world steps. Results - Founder communications and customer queries are answered quickly, accurately, and on-brand. - Priority projects ship on time with minimal founder involvement. - Systems reduce chaos; future work becomes faster and easier. - Founders spend more time in high-leverage work; less time context-switching. - No dropped balls: commitments are tracked and closed. Requirements - 3–7 years in executive support, operations, or project execution (remote preferred). - Excellent English (written/spoken); can write in founder/brand voice. - Outcome Ownership. You don’t ask what to do next, you figure out what needs to be done. If it’s in your lane, it’s handled. If it’s not, you find a way. - Bulletproof Discretion. You’re a vault. You know what’s sensitive, what’s strategic, and what stays behind closed doors. You don’t need reminders about what not to say. - Pressure-Ready. Urgency doesn’t scare you. High standards don’t rattle you. Moving targets don’t knock you off course. You meet intensity with focus and execution. - Fast Response Time. You move in real time, not in delay loops. You treat responsiveness as a signal of respect — and you're wired to be on, even when it’s after hours. - Bonus: experience in marketing, creative industries, customer experience, or influencer coordination. Who this role is not for - Anyone who gets rattled when priorities shift, timelines tighten, or things move fast. - People who guard their evenings and weekends like sacred ground — this role flexes when the Co-Founder does. - Individuals who aren’t comfortable working across both the personal and professional — this role requires integration, not separation. - Those who struggle to read the room, adapt tone, or communicate with clarity under pressure. - People who take direct feedback personally or need constant validation to stay motivated. - Anyone who needs to be followed up with to ensure a task is complete. - Those who prioritize “done” over “done right” — excellence isn’t optional here. - People who hesitate to take initiative or wait for permission to lead. Location Remote (UK hours) Compensation 45,000-55,000 PHP per month Core Values Competitive Greatness Be at your best when your best is needed. Enjoyment of a hard challenge. Those who have the drive to constantly improve, the superior intellect and long term commitment to see incremental improvements become compounding returns. Sincere Candour Have the self awareness to accurately perceive and communicate hard truths that improve others and self, the courage to do so, and the humility to accept them, even when it hurts. Nothing great can be built without feedback: internally or externally. Unimpeachable Character Be the type of person with whom people are always proud to associate, personally and professionally.
