Title: Commercial & Contract Administrator Location: Australia, NSW, Newcastle (Heatherbrae)  Work Type: Hybrid, Full Time Job ID:R0090725 - 12 Month Fixed Term Contract Job Description: About the role Based at Heatherbrae, NSW and reporting to the Commercial Analyst, the Commercial and Contract Administrator supports the preparation and delivery of tenders, pricing, contract reviews, customer rebates and commodity market research. You'll also partner with the wider Ground Support team, including Sales Management, Marketing, Technical Support, Purchasing, Demand Planning, Finance, IT and Legal, to help deliver a strong customer experience and commercial outcomes. Key responsibilities - Support tendering and business development activities by providing data analysis and documentation. - Maintain the customer contract register, including contract administration support and coordination of reviews. - Complete routine reporting for management on margin analysis, tender opportunities and pipeline of work. - Assist with quarterly market updates, pricing files and customer rebate administration, ensuring data accuracy. - Work with Finance to support forecasting, budget research and due diligence on new and prospective customers. - Provide clear analytical reporting for internal stakeholders and, where required, external customers. - Respond to complex customer queries that may require contract interpretation, supporting documentation or market research. - Identify and support process, system and service improvements across commercial and sales support activities. About you You're analytical and detail-focused, with the ability to turn complex information into clear insights for a range of stakeholders. You bring strong interpersonal skills and a customer-first mindset, and you're comfortable working across teams to deliver accurate, timely commercial support. You'll be proficient in Microsoft Office (especially Excel and Word), have excellent written and verbal communication skills, and demonstrate critical thinking and problem-solving capability. A tertiary qualification in Business, Law, Finance and/or IT and experience in business intelligence/analytics, SQL or database concepts, and/or exposure to manufacturing or mining environments will be well regarded. This position will report to the Director of HSC Pre- and Post-Award and will serve as part of the HSC Shared Services unit for centralized Grants Administration. This position will be responsible for providing management and oversight of daily pre- and post-award grants administration to members of the HSC community, with a special emphasis on pre-award support for complex program, center and training award mechanisms (T32s, P20s, P50s, etc.). Makes recommendations as necessary. Manages programmatic and financial needs for extramural funded projects with varying levels of complexity in collaboration with the PI. - Interprets and educates others on all granting laws, regulations, policies and procedures and ensures that institutional and sponsoring agency policies are followed. - Creates historical data including tracking, burn rates, revenue, trends and future projections. - Approves and manages monthly financial reports and provides oversight on research portfolios. - Provides guidance and initiates necessary actions for all project status changes and/or extension requests. - Educates PI's on managing budgets and cost accounting principles. Educates PI's on routine spending habits and reallocation of line item dollars. Counsels all PI's on allowable vs. unallowable expenses per sponsored guidelines. - Advise the PI on necessary research compliance issues such as animals, human subjects, and/or biohazards. - Advise/troubleshoot solutions that will enhance the efficiency of post-award administration at the HSC. Pre-Award Administration - Initiates and facilitates the grant proposal preparation and submission process from initiation through assembling of the application package. Reviews materials and educate PI as needed and serve as a direct liaison to the OSP reviewer assigned to submit the proposal. - Incumbent will monitor and remain knowledgeable of all current agency funding opportunities and advise PI's on searching/selecting appropriate grant opportunities that fit within their research. - Incumbent will develop the budget for all awards and ensure the budgets are accurate before submission to the funding agency. - Incumbent will maintain his/her knowledge of grants administration to serve as an advisor to the faculty within the incumbent's primary departments and HSC by creating an effective application process which proves successful for submitting high quality applications. - Incumbent will assist in the preparation of proposals with a varying level of complexity, including Training Grants (T32), IDeA funded Centers of Biomedical Research Excellence (CoBRE P20), Center Program grants (P50), etc. Other Administration - Advises/educates members of the HSC community on area of expertise as it applies to pre- and post-award processes and management. - Develop and foster effective collaborations among schools and departments within the HSC and university community. - Interface with customers to understand expectations and follow-up to ensure satisfactory resolution of request.
