Role Description We are looking for a highly organised and detail-driven Executive Assistant (Finance & Operations Support) to work directly with our COO and support high-level executive operations. This role is primarily focused on C-level executive support, requiring strong organisational skills, discretion, and the ability to manage priorities in a fast-paced environment. In addition, the role will provide support to finance operations, particularly in bookkeeping, documentation, and compliance tasks. This is a critical role that ensures both executive efficiency and operational continuity across the business. Key Responsibilities - Provide high-level administrative support to the COO - Manage schedules, priorities, and executive communications - Handle confidential information with a high level of discretion - Support strategic and operational initiatives as needed - Assist in coordination across teams and stakeholders - Manage and maintain day-to-day financial records and smaller books - Support the preparation of financial reports and documentation - Ensure accuracy and organization of financial data across systems - Assist with corporate filings, registrations, and compliance documentation - Support legal and administrative documentation across entities Qualifications - Strong Executive Assistant experience supporting C-level leadership (non-negotiable) - 3+ years of experience in executive support, operations, or administrative roles - Background in finance, bookkeeping, or accounting support is highly preferred - Strong organisational, communication, and prioritisation skills - High level of discretion, reliability, and accountability - Proficiency in tools such as Excel/Google Sheets, Notion, Dropbox, and accounting software (e.g., QuickBooks, NetSuite) - Must be willing to travel on short notice if needed Preferred Qualifications - Experience supporting high-growth or eCommerce businesses - Exposure to multi-entity or international operations Benefits - Work closely with executive leadership and influence operational efficiency - Play a critical role in supporting a scaling global business - Opportunity to grow into broader finance, operations, or strategic roles
