Job Title Allocations Coordinator Job Overview We are seeking a highly organised and proactive Allocations Coordinator to join a growing UK-based organisation. This role is central to ensuring a smooth and efficient housing allocation process, from initial referral through to move-in. You will work closely with local authorities, applicants, and internal teams to coordinate placements, manage communications, and maintain accurate records. This is an excellent opportunity for someone who thrives in a fast-paced environment and enjoys balancing operational efficiency with strong stakeholder engagement. Responsibilities - Manage the full allocation process from referral through to move-in across Temporary Accommodation (TA), Step Down (SD), and Supported Exempt Accommodation (SEA) - Receive and review TA referrals, coordinating placements based on urgency, suitability, and availability - Maintain and update all TA, SD, and SEA referrals within the Airtable dashboard - Send daily TA availability updates to partners and stakeholders - Arrange and confirm move-in dates and times with applicants, councils, and internal teams - Assess applicant suitability based on needs, risk factors, and property availability - Coordinate and schedule property viewings with Housing Support Officers (HSOs) - Act as the main point of contact for applicants, local authorities, and internal teams throughout the allocation process - Oversee onboarding through COHO, supporting applicants with applications and document collection (ID, Right to Rent, bank statements, etc.) - Prepare and issue offer letters and manage licence agreements via PandaDoc - Coordinate deposits and first month’s rent payments with local authorities - Ensure all records and communications are accurate, up to date, and compliant Qualifications and Experience - Previous experience in housing, property management, allocations, or a similar administrative role - Strong organisational skills with the ability to manage multiple cases simultaneously - Experience working with databases or CRM systems (Airtable or similar preferred) - Excellent communication skills, with confidence liaising with multiple stakeholders - Ability to assess applications and make informed decisions based on set criteria - High attention to detail and strong administrative capabilities - Experience coordinating processes from start to finish in a fast-paced environment - Familiarity with housing processes such as TA, SD, or SEA (advantageous) - Comfortable using digital tools such as PandaDoc, COHO, and Microsoft Excel - Must have a reliable laptop and stable internet connection About Us At Remote Recruitment, we specialise in helping skilled South African professionals connect with top UK businesses.
