The Operations Support Associate will be responsible for completing standard and non-routine business processes to support sales and branch operations ensuring that customer contracts, billing, invoicing and issues of any administrative nature are resolved in a timely fashion. This role can support various and multiple business units and is critical to ensure proper documentation, payment and resolution of customer issues. This role will also: - Able to perform non-routine tasks related customer issues and resolution - Ability to document tasks into process flows - Responsible for helping develop training material for customer processes and order entry - Strong collaboration with internal and external customers - May require on-site service center support based on service center team needs - Exception reporting for customer orders when purchase orders are flagged for non-compliance - Resolves issues from 3rd party processer of customers orders of limited complexity - Assists branch in maintaining appropriate inventory, generates purchase orders - Ability to create orders for quoted jobs or installation with multiple process in SAP of limited complexity but with unique job requirements - May be required to handle contract renewals and contract maintenance or changes of simple configuration or change of purchase order - Reviews autorenewals of contracts and supports contract additions identified by branch staff - Submission of invoices through appropriate vendor portal ensuring the uploads of invoices are compatible with customer payable system - May assist standard non-complex customer master data work flows Responsibilities: To perform the job successfully, an individual must be able to perform each essential duty satisfactorily. - Create and maintain safe working environment and culture within the organization - Take care of internal and external customer needs and expectations - Demonstrates high impact culture through innovation, accountability and empowerment - Must be able to function in a team environment; usually works with direct supervision but can work independently - Task execution for area of responsibility up to levels defined in Xylem’s DOA policy Travel Requirements: - < 5% Education & Experience Requirements: - High school diploma or equivalent plus 2 years of applicable work experience or Bachelor’s degree with demonstrated capability in comparable work Skill Requirements: - Intra-departmental communication for purpose of alignment/information sharing/guidance/leadership - Able to executive tasks with high levels of autonomy; limited guidance required for complex tasks - Able to collaborate with other disciplines - Ability to understand concepts in execution, broader organizational impact, and strong organization skills - Understanding of general business concepts - Strong communication skills - Solid User of standard Microsoft Office applications (Outlook, Word, Excel, PowerPoint) - Strong ERP fluency in relevant systems - Strong understanding of typical IT business tools; adapt at learning new programs quickly (e.g. homegrown IT solutions but also new cutting-edge tools like Data Analytics) - Fluency in a Field Service and CRM application like (MS Field Service or MS CRM) Join the global Xylem team to be a part of innovative technology solutions transforming water usage, conservation, and re-use. Position Summary Provides plan benefit review, interpretation and systematic setup essential for online viewing and processing related to Customer Service, Claims, Enrollment, Billing and Reporting in support of internal and external partners. Fundamental Components: - Reviews benefit provisions to ensure compliance with state and federal mandates. Evaluation process may also include assessment of summary plan descriptions and other related documents prepared internally or externally by clients. - Develops and executes implementation strategy consistent with client expectations; Ensures strategy is administered in accordance with all performance guarantee arrangements. - Uses critical thinking and extensive knowledge of Meritain’s system and processes to evaluate impact of client requested exceptions and develops reasonable alternatives to satisfy client’s needs while minimizing impact on Meritain’s system and operations; Identifies, communicates and tracks cost sensitive items not included as part of the standard process and highlights them for consideration in the determination of rate adjustments or renewal activity. - Collaborates on review, analysis and development of recommendations for the design of complex account and benefit structures based on customers’ objectives and Meritain’s system. - Ability to utilize Meritain’s proprietary system for analytical coding of detailed customized plans rather than standard offerings. - Effectively manages implementation and provides direction to fellow team members ensuring success of overall implementation process. - Facilitating client facing review of plan setup walking through all benefits to assure alignment of benefit interpretation. - Solicits and assesses internal and external customer feedback to enhance continuous quality improvement on the implementation process (ie. System tools, resources, etc.) - Demonstrates Salesforce proficiency and understanding for cross functional communication and executive level status reporting. - Reviews coverage files at intervals throughout the first year of implementation to analyze for setup adjustments to align with claim processing reports to achieve higher levels of auto adjudication opportunities.
