This is a remote position. About the Role We’re looking for a sharp, proactive Executive Assistant who thrives in a fast-paced environment and acts as a trusted operational partner to leadership. This is not a traditional passive admin role — you will be the proactive engine keeping our business running efficiently. You will manage complex logistics, handle high-priority inbox management, and take ownership of critical operational processes (billing, cancellations) and data tracking. If you are unflappable, detail-obsessed, and love making executives more effective, this role is for you. What You’ll Do - Inbox & Communication Management: Act as a high-level gatekeeper, prioritizing, answering, and clearing the executive inbox. - Operational & Financial Processing: Handle sensitive client data, process cancellations, and manage the collection of dues owed with accuracy. - Data & Reporting: Create, edit, and maintain complex Google Sheet formulas and trackers to ensure accurate reporting. - Documentation & SOPs: Create, implement, and maintain clear Standard Operating Procedures (SOPs) for operational efficiency. - Presentations: Develop clear, professional Google Slides presentations and documents. - Logistics: Manage complex calendars, meetings, and last-minute travel changes. - Special Projects: Jump into projects, solve problems fast, and take ownership of outcomes. Requirements Requirements - Proven Experience: Demonstrated experience as an Executive Assistant, Senior Administrative Professional, or Operations Coordinator. - Technical Proficiency: Advanced skills in Google Workspace (Sheets, Slides, Docs, Gmail) is required. Proficiency in MindBody is highly preferred. - AI Implementation: Experience using or implementing AI tools to automate workflows and improve productivity is a huge plus. - Operational Mindset: Strong experience in billing, account management, or process improvement. - Communication: Exceptional, clear, and confident professional communication. - Attributes: High attention to detail, proactive, resourceful, and calm under pressure.
