Title: Event Manager Athletics/Auxiliary Services (E) Location: Lynnwood United States Job Description: Position Overview Event Manager Athletics/Auxiliary Services SALARY: $1,735.58 - $2,108.23/month ($25-30/hr) for a 16 hour per week schedule LOCATION: Lynnwood, Washington Description: Edmonds College¿s mission is teaching, learning, and community guided by the core themes of innovation, equity, and inclusion with a commitment to academic excellence, student success, and community engagement. The Event Manager works independently with limited supervision to support athletics and external rentals in various ways which include: specialized tasks at home games of all sports, overseeing large facility rental events, sports information functions and social media tasks and assignments, helping solicit athletic sponsorships, assistance with organizing and implementing athletic department fundraising events, and by promoting, planning and executing athletic and intramural events. This is an exempt position that reports to the Director of Athletics and Auxiliary Services. For information on applying, please see Application Procedures and Required Documents, below. Responsibilities include, but are not limited to: - Game Day Operations: Oversee the complete setup and breakdown for home games (basketball, volleyball, cross country, soccer, baseball, softball), including bleachers, scoreboards, scorer¿s tables and press boxes, laptops, iPads, Hudl cameras, and PA systems. - Game Day Preparation: Create and post game day social media graphics and content for each athletic team, create home game day programs, writing game day scripts, assist in scheduling student workers and adult support staff, and manage all statistics platforms. - Liaison Duties: Act as the primary point of contact for game officials, visiting teams, and coaching staff, ensuring they have access to locker rooms and necessary amenities. Responsible for organizing special events, giveaways, and community groups to participate in home game activities. - Crowd & Environment Management: Monitor fan behavior to ensure a safe and respectful atmosphere in accordance with conference and college sportsmanship policies. - Staff Supervision: Supervise student workers, adult support staff, and volunteers assisting with ticketing, concessions, ball-shagging, and all table crew positions which includes statistics and livestream and play by play functions.. Must have the ability to use credit card terminals and the reconciliation process. - Emergency Response: Working with the athletic trainer, serve as the on-site lead for injury protocols or facility emergencies until campus safety or medical professionals arrive. - Site Supervision: Serve as the on-site college representative for external rental groups (e.g., youth sports leagues, trade shows, summer camps, private parties, classroom rentals, event space rentals, workshops, conferences, tournaments). - Policy Enforcement: Ensure community renters adhere to college policies regarding facility usage, parking, noise, and food/beverage restrictions. - Logistics Coordination: Coordinate specific equipment needs for renters (mats, chairs, podiums, audio/visual) prior to their arrival. - Space Integrity: Conduct pre- and post-event walkthroughs to inspect for damage and ensure the facility is left clean and secure. - Communication: Provide post-event summaries. - Billing: Oversee accurate billing and invoicing for all external rental groups, ensuring timely payment. - Attention to Details: Track event details, schedules, staffing hours, and rental documentation. - Billing and Budgets: Assist with budgets, invoices, and expense tracking related to rentals. - Record Keeping: Complete incident reports, attendance logs, and post-event summaries. - Coordination: Collaborate with campus departments such as Public Safety, Facilities, Custodial, IT, and Conference Services when scheduling and running events. - Fundraising: Serve on fundraising event committees and organize, plan, and implement work related to all athletic department fundraisers and serve as main contact for sponsors and contracts. - Program Supervision: Serve as the on-site college representative for fundraising events, assist with set-up and conduct the event. - Contracts: Serve as the point of contact for eteam sponsor and Allied Universal contracts. - Scheduling: Maintain the master events calendar, proactively identifying and resolving potential scheduling conflicts. - Communication: Provide welcoming, professional service to visiting teams, officials, community groups, and campus partners. - Relationship Building: Build positive working relationships with coaches, students, vendors, and community members.. - Engagement: Represent the Athletics Department courteously and reliably during all events. - Equipment and Inventory: Manage inventory of all event equipment (tables, chairs, barriers, signage). - Post-Event Analysis: Conduct post-event evaluations, collect client and participant feedback, prepare reports on even success, attendance and revenue - Collaboration: Work Closely with facilities, grounds and maintenance, security and IT departments to ensure proper support for events. - Other duties as assigned. REQUIRED QUALIFICATIONS: - Must have flexibility in schedule to work nights and weekends (when games and events take place) - High school completion - Minimum of 6 months in a fast-paced professional office environment - Must be able to perform all essential functions of the position, ability to work independently and as part of a team, ability to problem-solve and handle sensitive information, and difficult situations tactfully and in confidence. - Must be knowledgeable of and work in accordance with office practices and procedures, federal, state, and college policies and regulations, and negotiated agreements. - Must be able to use a computer for written communication, data entry, and spreadsheet applications. - Must be able to respond to and initiate communication with college employees, staff of other institutions, outside agencies, and the general public.¿ - Must be able to prioritize unplanned but required duties with ongoing confirmed deadlines, be flexible, be able to work under stressful situations and manage stress appropriately, to exercise appropriate judgment and be able to work with athletes, students, community members, and visitors. DESIRED QUALIFICATIONS: - Experience working in a sports, recreation, or facility-based environment. - Familiarity with athletics game operations across multiple sports or community event coordination. - Basic understanding of safety procedures and emergency protocols. - CPR/AED certification or willingness to obtain it. - Bachelor¿s degree in Sports Management, Event Planning or equivalent experience with collegiate athletic programs. - Work in accordance with office practices and procedures, federal, state, and college policies and regulations, and negotiated agreements. - Experience using google suite, ability to focus and complete tasks in a chaotic/loud environment, work with and get required information from coaches not on campus and rental clients - Background in fundraising and relationship building PHYSICAL WORK ENVIRONMENT: Work is typically performed in an office setting, onsite/in-person, and in the gymnasium and outdoor athletic field in all types of weather. The ability to sit at a desk/computer station, bend, stoop, walk and generally move around the office to consult with others, work within a busy environment and remain focused on tasks. Ability to focus and complete tasks in a chaotic/loud environment, work with and get required information from part-time employees who are not on campus. Inventory management requires some lifting and moving of objects up to 50lbs. Excellent communication skills are essential. This includes the ability to speak clearly and fully comprehend written and spoken English and will include communication with people for whom English is not their first language. COMPENSATION: Salary is $1,735.58 - $2,108.23/month ($25-30/hr) for a 16 hour per week schedule and is based on the Edmonds College administrative/exempt salary schedule. This position is not eligible for benefits. Paid PTO/Sick leave on an accrual basis. WORK SCHEDULE: Monday through Sunday depending on the event and could be between the hours of 8:00 a.m. - 10:00 p.m. with a minimum of 16 hours per week.
