Agency Management Specialist I | 100% Remote (WFH) Opportunity - Must work west coast hours 8am -5pm Pacific General Summary Under the direction of the Supervisor, Agency Management, this position is responsible for establishing, maintaining and validating the processes, systems, contracts and licensing that affect agent’s ability to conduct business with EMPLOYERS. This position provides professional administrative, technical and operational support to Agency Management, Territory Managers, Sales Managers and Agents. The primary responsibilities of this position include but not limited to process agency and producer appointments and terminations, agency access requests, troubleshoot with agent on log-in issues, contact updates, process and distribute mail, and special projects as assigned. Must work west coast hours 8am - 5pm Pacific (11am-8pm Eastern) no exception, schedule will not change. Essential Duties and Responsibilities - Gather and review all incoming documents related to agency/producer appointments and licensing. - Processes agency and agent appointments that places agents in a position to do business with EMPLOYERS as quickly and efficiently as possible. Ensures agency and agent data is accurate and consistent between systems. - Periodically assigns tasks and centralized email requests to team members based on the type of task/request and current workloads. - Owns request intake, including, but not limited to the AM Outlook Inbox, phone calls, mail, and AMR tasking in CRM. - Tracks returned mail from agency mailings and maintains master mailing list in the Customer Relationship Management system. - Receives incoming producer appointment-related phone calls/e-mails and responds appropriately. - Interacts with Agencies, Sales, and Underwriting departments to provide guidance on contract and appointment procedures based on state rules and regulations. - Collaborates with other departments to resolve day-to-day issues and problem solves systems issues that affect agents’ ability to conduct business. - Understands and carries out oral and written instructions. - Works with various computer programs to verify information and answer questions appropriately. - Other duties as assigned. Requirements - 1-2 years’ work experience in a similar type of position; or an equivalent combination of education, experience and training in secretarial/administrative work. - Demonstrated ability to handle sensitive and confidential information in an appropriate and confidential manner. - Excellent oral and written communication, listening and interpersonal relationship skills. - Strong organizational, prioritization, and time management skills. - Good analytical problem-solving and decision-making skills. - Detail oriented and demonstrate ability to take initiative with minimal supervision. - Proficient in the use of computer programs; including, but not limited to Word, Excel, PowerPoint, Access, Outlook and Internet applications. - Ability to exercise tact and good judgment. - Must have demonstrated knowledge of general office procedures, methods, and equipment including copiers, fax and telephone systems. Education - Must have High School Diploma or GED equivalent. - Equivalent combinations of education and experience may be considered.
