Customer Service, Administrative Virtual Assistant

• Answer inbound customer calls professionally and courteously. • Respond to missed calls promptly and return customer inquiries. • Provide basic service information and address customer questions. • Ensure all interactions reflect a positive and professional brand image. • Schedule service appointments and estimates. • Manage and organize the client’s calendar to avoid conflicts. • Confirm, reschedule, and follow up on appointments as needed. • Send reminders to customers prior to scheduled visits. • Monitor and manage the business email inbox. • Respond to customer inquiries in a timely and professional manner. • Follow up with incoming leads via phone, text, or email. • Track and update lead statuses within the CRM or tracking system. • Manage the company’s Google Business Profile, including responding to reviews and messages. • Perform data entry and maintain CRM records. • Help maintain efficient workflows and organized communication.

Job Requirements

  • 3+ years of experience in customer service, administrative support, or virtual assistance.
  • Strong American or near-native English accent with excellent phone communication skills.
  • Excellent written communication and email management abilities.
  • Highly organized with strong attention to detail.
  • Comfortable handling inbound calls and customer inquiries.
  • Experience with scheduling, calendars, and CRM systems.
  • Ability to multitask and manage priorities in a fast-paced environment.
  • Reliable, proactive, and able to work independently.
