Job Title: Operations Associate Location: Remote Working Hours: EST About the Role We’re hiring a Operations Associate to act as the operational backbone of our client’s deal pipeline. This is not a traditional investment banking role. There is no heavy modeling, no client-facing pressure, and no deal origination expectations. Instead, this role is about execution, organization, and follow-through. You’ll be responsible for ensuring that every deal, follow-up, and task is tracked, updated, and moving forward—without anything slipping through the cracks. What You’ll Be Doing 1. BD Pipeline Management (50%) - Own and manage the deal pipeline inside HubSpot - Track inbound interest, responses, and follow-ups across deals - Send consistent follow-ups and reminders on slow-moving opportunities (6–12 month cycles) - Maintain clean, structured CRM data (notes, stages, next steps) - Flag urgent items and ensure leadership stays on top of priorities 2. Deal Execution Support (50%) - Update and maintain Excel templates for deal tracking and reporting - Format data into clean, presentable outputs (graphs, summaries, visuals) - Support preparation of client-facing materials and pitch content - Coordinate scheduling for meetings and deal-related calls - Provide general operational and administrative support What Success Looks Like - HubSpot is fully up to date, structured, and reliable - Follow-ups are sent consistently without being asked - No deal or communication falls through the cracks - Excel reports are clean, accurate, and delivered on time - Leadership does not need to chase you for updates Must Haves - Hands-on experience with HubSpot CRM (deal tracking, tasks, follow-ups) - Intermediate Excel skills (formatting, templates, basic data handling) - Strong written English (you’ll be drafting follow-ups independently) - Extremely organized and detail-oriented - Comfortable with high-volume follow-ups and repetitive tracking work - Proactive mindset — you flag issues before being asked - Must be available to work EST hours - Must be based in South Africa or Latin America Nice to Have (Not Required) - Exposure to finance, M&A, or investment banking environments - Experience supporting a founder or senior executive - Familiarity with pitch decks or data visualization tools - Experience with CRM workflows or automation Interview Process: - Initial Phone Screen - Video Interview with Pavago Recruiter - Client Interview - Offer & Background Verification
