Export Coordinator
H2O Innovation Inc.
Role Description Based in India and working under an independent contractor relationship, the Export Coordinator will work closely with the H2O Specialty Products division and acts as a key liaison between vendors, logistics partners, internal stakeholders, and statutory authorities to ensure timely procurement, dispatch, documentation, and payments, while maintaining quality and compliance standards. This is a hands-on role requiring strong coordination skills, commercial acumen, ERP proficiency (IFS preferred), and the ability to manage stakeholders across multiple geographies. This is currently a home office position and may change in course of time as the organization grows in India. Key Responsibilities - Procurement & Vendor Management - Co-ordinate with contract manufacturers for timely dispatches. - Process contractor purchase orders and service orders through IFS ERP. - Coordinate with global teams to support procurement requirements. - Liaise with contractor and logistics partners to plan and execute dispatch schedules. - Negotiate pricing and commercial terms for third-party services, where applicable. - Support vendor identification, onboarding, and development. - Review and validate contractor invoices to ensure accuracy and readiness for payment. - Contribute to continuous improvement in sourcing, lead times, and cost efficiency. - Expediting, Commercial & Export Operations - Prepare and manage export and commercial documentation (invoices, packing lists, compliance documents) using IFS. - Conduct regular visits to vendor sites to: - Monitor production progress and expediting milestones. - Perform basic quality checks. - Track critical orders and proactively follow up to ensure on-time delivery and issue resolution. - Coordinate with logistics providers to ensure smooth dispatch and customs clearance. - Compliance, Statutory & Government Coordination - Coordinate with government, customs, and statutory authorities for: - Import/export documentation; - Certifications, permits, and approvals; - Taxes, duties, and applicable fees; - Ensure timely submission of statutory reports and filings. - Stay up to date on regulations related to trade, taxation, and commercial operations. Qualifications - A minimum of 5 years of experience in procurement, commercial operations, export documentation, and expediting roles; - Tangible experience handling Indian export documentation; - Strong working knowledge of ERP systems (IFS preferred); - Fluency in written and spoken English; - Proven experience dealing with vendors, logistics partners, and government/statutory bodies; - Willingness to travel locally; - Flexible with schedule to accommodate colleagues working in different time zones. Preferred Competencies - MBA in Export–Import Management; - Bachelor’s degree in Commerce; - Strong negotiation and commercial judgment; - High attention to detail and compliance orientation; - Ability to manage multiple stakeholders and priorities; - Willingness to travel locally for vendor and statutory visits; - Independent, proactive, and solutions-focused working style. Position Summary The Senior Analyst – DSCSA Exception Management is responsible for independently managing, investigating, and resolving complex serialization, traceability, and data-driven exceptions that prevent compliant product flow across CVS Health Mail and Specialty business units. This role serves as a subject-matter expert for DSCSA exception resolution and plays a critical role in ensuring regulatory compliance, audit readiness, and operational continuity. The Senior Analyst works across SAP, TraceLink, and related enterprise systems to perform deep-dive analysis, reconcile discrepancies, and drive resolution of high-risk or time-sensitive exceptions. This role requires strong analytical judgment, advanced system proficiency, and the ability to partner cross-functionally with Operations, Compliance, IT, and external trading partners. The candidate can be located anywhere in the US, working remotely. Key Responsibilities: - Independently manage and resolve DSCSA serialization and traceability exceptions impacting Mail and Specialty product flow, including quarantined inventory. - Perform advanced investigation across SAP, TraceLink SCWM, and related systems to analyze purchase orders, receipts, inventory movements, scan data, and EPCIS transactions. - Reconcile discrepancies across multiple systems and data sources, identifying root causes and implementing corrective actions. - Investigate and resolve cross-system timing or data mismatches that result in receiving or compliance failures. - Ensure all exception handling aligns with DSCSA requirements, internal SOPs, and audit standards - Document investigations, actions taken, and outcomes in a clear, consistent, audit-ready manner. - Serve as a point of escalation for complex, high-risk, or recurring exceptions, providing guidance to analysts and operational partners. - Partner with IT, Compliance, Operations, and external trading partners to resolve systemic issues and support long-term fixes. - Identify trends and recurring issues, contributing to process improvements, training materials, and preventive controls. - Support enterprise readiness by maintaining strong awareness of DSCSA milestones, regulatory guidance, and system changes.
