Sales Operations Specialist

• Lead the RFP process by creating accurate sales budgets, ballparks proposals, and other pre-sales materials quickly and efficiently. • Support the RFI process by drafting responses, gathering inputs, and coordinating reviews. • Work cross functionally with Sales, Product, Data, Project Managers, Finance and Legal teams to collect information and ensure timely deliverables. • Create and maintain proposals through the final Statement of Work (SOW), and track all versions of budgets, proposals, and contracts from project start to final signature. • Use Salesforce to support the sales team throughout the sales cycle. • Maintain accurate and up‑to‑date CRM records related to RFPs, RFIs, and sales activities. • Support the maintenance of Q&A pair content library in RFI platform. • Prepare sales support presentations, as needed. · Organize and manage sales documents and collateral. • Identify opportunities for process improvements and escalate suggestions to the Sales Operations team. • Support the sales team in meeting quarterly goals. • Perform other duties as assigned.
Job Requirements
- A Bachelor's degree preferred in business management, finance, healthcare administration, and/or community health education and promotion, marketing or sales.
- Strong quantitative, problem-solving, and critical thinking skills
- Interest in the US and global clinical trial landscape
- Basic understanding of the sales cycle and contracting process
- Familiarity with Salesforce or other CRM systems; academic, internship or early professional experience acceptable
- Proficiency with Microsoft Office Suite
- Strong Excel skills
- Clear and effective communication skills

Your mission As Sales Operations Specialist, you ensure structure, transparency, and operational discipline across the commercial organization. You own the CRM as the single source of truth, maintain a reliable deal pipeline, and ensure that transactions are properly documented and execution-ready. Working closely with Sales, Finance, and external partners, you coordinate the operational processes that allow deals to move smoothly from opportunity to completion. By bringing clarity, structure, and accountability to commercial workflows, you enable the Sales team to operate efficiently and reliably. Your profile You have - 3+ years in Sales Ops / RevOps (or related commercial ops roles) in a B2B environment; exposure to automotive/energy/cleantechis a plus. - Strong CRM & operations skillset (HubSpot preferred): data quality/hygiene, pipeline discipline, and scalable process design. - Experience supporting transaction execution processes, ideally including logistics coordination in a B2B environment. - Fluent in English and German, with confident cross-functional communication across Sales, Finance, and Marketing. - Hands-on, highly structured, detail-oriented, and proactive with a solution-focused mindset—and confident in enforcing process discipline and holding stakeholders accountable for data accuracy and execution standards. - Interest or experience in sustainability topics (e.g., LCA, CO₂, Battery Passport) is a plus, along with the confidence to enforce process discipline and hold stakeholders accountable for data accuracy and execution standards.
