Job Description

Executive Assistant

Shadow Light Studios

This is an exciting role working with a successful founder! You are joining a powerhouse operation running multiple fast-growing companies simultaneously. One side is the hottest agency in the author space. Scaling bestselling authors who move millions of books and command massive audiences. The other side is a crushing Amazon business doing serious revenue with proven systems and relentless execution. Built by operators who understand leverage. Not wannabe entrepreneurs playing startup theater. These are real companies with real revenue and real momentum. The kind of businesses that require someone who can think three steps ahead and execute flawlessly under pressure. This is not a calendar coordinator role where you send meeting invites and hope for the best.  This is the operational command center of a multi-company empire. What You’ll Actually Do - Own the executive calendar across multiple companies and priorities.  - Coordinate complex project timelines with authors, publishers, and Amazon operations.  - Manage high-stakes communication with bestselling authors and enterprise partners.  - Build systems that scale across different business models and industries.  - Handle confidential deals, contracts, and strategic partnerships.  - Filter and prioritize incoming opportunities so the executive focuses on what matters. Coordinate travel, events, and author meetings with perfect execution.  - Manage vendor relationships, payments, and operational logistics.  - Create order from chaos when priorities shift at the speed of business. What We Are Looking For - 5+ years of executive assistant experience with high-growth companies.  - This is key: You have managed executives running multiple businesses simultaneously. Exceptional written and verbal communication in English. - Experience with complex calendar management across time zones.  - Huge plus if you have worked with authors, publishers, or Amazon businesses.  - You thrive under pressure and changing priorities.  - Obsessive attention to detail without losing sight of the big picture.  - Proactive mindset. You solve problems before they become problems. Who This Is NOT For - If you need constant direction, this is not for you.  - If you get overwhelmed by fast-moving priorities, this is not for you.  - If you cannot handle confidential information with absolute discretion, this is not for you.  - If you want a slow-paced corporate environment, this is not for you.  - If you need everything mapped out in advance, this is not for you. Who This IS For - This is for you if you want to work directly with a proven operator building multiple winners.  - This is for you if you thrive in dynamic environments where no two days are the same.  - This is for you if you want to be indispensable to companies that are actually moving the needle. This is for you if you can anticipate needs, solve problems, and create systems that scale.  - This is for you if you want real responsibility and direct impact on business outcomes.  - This is for you if you want to work alongside someone who has built multiple successful companies. Why This Role Is Different You are not just supporting one executive. You are the operational backbone of a multi-company portfolio.  Direct exposure to high-level strategy across completely different industries.  Work with bestselling authors, major publishers, and Amazon at scale.  Your systems and execution directly impact millions in revenue. Apply now.

Role Title GoHighLevel Executive Virtual Assistant – CEO Support (Philippines) Role Summary You will directly manage the CEO’s workflow, priorities, and operational communications, ensuring the executive office functions without friction. This is hands-on, high-accountability work: you decide what needs escalation, what can be handled independently, and how to maintain momentum across departments. Filtering signal: This role is not for candidates who require daily instructions or prefer low-impact administrative tasks. Core Responsibilities - CEO Calendar & Schedule Management: Proactively update the CEO’s calendar, confirm appointments, and resolve conflicts before escalation. Ensure daily schedule supports executive priorities. - Meeting Coordination & Briefing: Prepare agendas, meeting materials, and post-meeting summaries. Ensure executives enter meetings ready to act, not review raw data. - Professional Correspondence & Reporting: Draft, review, and manage emails, internal communications, and operational reports. Flag sensitive or high-impact items for CEO attention. - Department & Stakeholder Liaison: Act as the virtual point-of-contact between CEO and department heads. Follow up on delegated tasks to ensure deadlines are met without repeated reminders. - Operational Oversight & Documentation: Maintain digital files (Dropbox, Google Docs), track KPIs, monitor progress on initiatives, and ensure all critical information is accurate and accessible. - Project & Special Initiative Support: Assist with onboarding, document organization, and special projects, identifying gaps and proactively suggesting improvements. - Client & Process Administration: Support client management processes, track automation workflows in GoHighLevel, and manage related administrative tasks. What We Actually Care About - You surface only what truly requires CEO attention while resolving routine matters independently. - You anticipate scheduling or workflow conflicts and act proactively to prevent disruptions. - You produce actionable reports and summaries, not raw data dumps. - You coordinate across departments and stakeholders to ensure deadlines and KPIs are met. - You adapt communication style depending on context and urgency. What This Role Is NOT - Not a low-impact administrative assistant role; independent judgment is required. - Not for candidates who require step-by-step instructions or micromanagement. - Not solely a scheduling or email management role; executive support and operational oversight are key. - Not for those unable to maintain discretion with sensitive business and client information. - Not limited to internal tasks; this role requires cross-departmental coordination and problem-solving. Position Details - Hours: Full-time, remote (Philippines) - Work Style: Async, US-aligned work hours, performance-driven - Structure: Employee / Contractor Application Instructions - Submit resume with examples of past executive support, highlighting independent decision-making, calendar & project management, and cross-department coordination. - Include a short scenario response: Describe how you would handle three overlapping CEO priorities with conflicting deadlines, specifying escalation points and independent resolutions.

Executive Virtual Assistant – Multi-Company CEO Support Role Summary This role manages the CEO’s time, priorities, and communication across multiple organizations. You act as the CEO’s operational extension: coordinating projects, scheduling meetings, managing correspondence, and producing executive-ready reports. You step in whenever tasks require action, decision-making, or problem-solving—resolving issues independently without back-and-forth. Filtering signal: This role is not for candidates who need constant direction or cannot make decisions without explicit instructions. Core Responsibilities - CEO Time Management: Maintain and proactively manage calendars for multiple companies; adjust schedules in real time to accommodate shifting priorities without waiting for instructions. - Project Coordination: Track CEO-led initiatives, push deadlines when necessary, flag bottlenecks, and ensure projects progress smoothly. - Communication Gatekeeping: Serve as the primary point of contact for internal teams and external clients seeking the CEO; draft, screen, and initiate correspondence with clear escalation when needed. - Meetings & Travel Logistics: Plan and confirm meetings, conferences, and travel; prepare agendas, collate materials, and take actionable minutes. - Reporting & Presentations: Compile reports, presentations, and briefs tailored to the CEO’s needs; identify gaps or inconsistencies before submission. - Process Improvement: Identify inefficiencies in office workflows, suggest actionable solutions, and implement approved changes across multiple companies. - Analysis Support: Conduct needs analysis, SWOT analysis, root cause analysis, and action planning for initiatives, presenting actionable recommendations. - Ad Hoc Executive Support: Handle urgent or unexpected tasks without supervision; escalate only when resolution is impossible. What We Actually Care About - You make decisions without needing daily approval. - You resolve scheduling or operational conflicts proactively. - You produce executive-ready documentation without repeated revisions. - You anticipate the CEO’s needs and act before being asked. - You maintain confidentiality while managing multiple companies’ priorities. What This Role Is NOT - A routine administrative assistant; must handle multi-company priorities independently. - A task that receives step-by-step instruction daily. - A communications-only VA; must also manage projects, reports, and analysis. - A reactive role; must proactively anticipate CEO needs. Position Details - Hours: Full-time, Philippine time zone, US-aligned (night shift) - Work Style: Remote, async, results-driven - Contractor Structure: Independent contractor Application Instructions - Submit resume plus a 3–5 sentence example of a scheduling, project, or correspondence problem you resolved independently. - Include a brief explanation of a decision you made proactively to prevent an issue for your executive.
