Executive Assistant – LATAM

• Manage and triage executive inbox, ensuring timely responses, prioritization, and follow-ups across legal, startup, and real estate matters. • Coordinate with property managers and vendors across multiple properties, including estimates, timelines, and follow-ups • Review and consolidate property financial reports (P&Ls), extracting insights and highlighting key trends. • Organize and manage financial, tax, and escrow documentation for accuracy and accessibility • Draft and track contracts, invoices, and payment follow-ups to ensure smooth operations • Coordinate and track tasks from internal systems, proactively driving completion and accountability across stakeholders. • Oversee calendar management, scheduling meetings, demos, and cross-functional coordination. • Support startup operations by managing demos, contracts, payments, and CRM updates. • Leverage AI tools to summarize data, analyze performance, and streamline workflows. • Improve and implement systems, workflows, and processes to enhance operational efficiency.

Job Requirements

  • 3+ years of experience as an Executive Assistant, Personal Assistant, or Operations Assistant (must-have)
  • Familiarity with real estate coordination, property management workflows, or financial reporting (must-have)
  • Experience handling contracts, payments, and CRM updates (must-have)
  • Spanish proficiency for vendor and client communication
  • Strong written and verbal English communication skills
  • Proven ability to work independently, take initiative, and operate with minimal supervision
  • Experience supporting startups, founders, or multi-entity businesses
  • Strong organizational, analytical, and problem-solving skills
