REMOTE CONSTRUCTION PROJECT COORDINATOR www.bhproperties.com COMPANY BH Properties is a privately held commercial real estate investment firm focused on value-add acquisitions in office, industrial, retail, and multi-family properties throughout the Western United States, along with investments in distressed debt and ground leases. The Company is vertically integrated, with offices in Los Angeles, San Francisco, Seattle, Riverside, Phoenix, Dallas, and Houston, and is able to acquire and close transactions without the need for lengthy due diligence periods. Today, the Company owns and operates approximately 10M square feet across 18 states. POSITION The Construction Project Coordinator will report to the Assistant Project Manager. LOCATION AND WORK HOURS The ideal candidate will provide virtual support to the Arizona office from any location throughout the Philippines. It is expected that the successful candidate will provide support from 8:00 am to 5:00 pm, Mountain Standard Time to align with the construction teams’ working hours. RESPONSIBILITIES Including, but are not limited to: - Support the Construction Team as needed to ensure all activities within each project are completed on time and deadlines are met. - Responsible for entering project information data and project documentation into project management software applications (Yardi, Elevate). - Provide project documentation control, creating an accurate and organized filing system - following company procedures. - Request and track all required Construction Project Documentation – including executed contracts, change orders, purchase orders, and close out documents. - Maintain accurate status tracking log for all Project Submittals and RFIs. - Assist with drafting, issuing, and tracking contracts and changing orders as needed. - Verify and track all vendor paperwork: including insurance, and business licenses. - Assist in reviewing vendor and contractor invoices for accuracy and completeness of support. - Effectively and accurately communicate relevant project information to the appropriate project team members. - Coordinate meetings, prepare meeting agendas, generate, publish, and distribute meeting minutes. - Prepare reports for the Construction team. QUALIFICATIONS - A minimum of 5 years of experience working for a leading construction company. - Graduated with honors from a reputable college is a plus. - Solid organizational skills, including the ability to prioritize and multi-task. - Working knowledge of Microsoft Office Suite, including Word, Excel, and Outlook. - Ability to communicate effectively and professionally with all levels of the organization and externally with vendors and other outside parties. - Ability to work independently and with minimum supervision. - Ability to work in a fast-paced environment. - Must possess strong work ethic. - Must be a team player. - Yardi experience preferred. With a proven track record of managing multi-phase or multi-location engagements, the Senior PM is trusted with clients and initiatives where clear communication, deep technical understanding, and high judgment are critical to success. In addition to managing project delivery, the Senior PM supports department improvement by mentoring junior PMs, contributing to best practice documentation, and participating in cross-departmental strategy. Job Responsibilities Project Delivery & Leadership - Own the full lifecycle of high-value or technically complex projects — from scoping and kickoff through deployment and closeout. - Lead project teams across departments, managing communication, execution, and stakeholder alignment. - Serve as the escalation point for client-facing challenges and scope management during delivery. Client Engagement & Strategy - Build strong relationships with client stakeholders and internal sponsors to align technical execution with business outcomes. - Represent the Project department in client-facing meetings, strategy calls, and executive updates as needed. - Anticipate client needs and proactively identify project opportunities or risks. Team & Process Development - Mentor and support less experienced PMs through shadowing, knowledge sharing, and peer reviews. - Help maintain and improve project documentation standards, templates, and tool usage (e.g., PPM tools, ConnectWise, ITGlue). - Participate in quarterly process reviews or department-led improvement initiatives. What Success Looks Like - Senior PM leads projects that are critical to business success and client satisfaction. - Project delivered with in scope, budget and timeframe. - Scope change is managed effectively through out the life cycle of the project - Escalations are limited or none at all. - Adherence to company standard project methodology Job Qualifications - Prior experience in a Managed Service Provider (MSP) environment is essential. - 10+ years of experience in project management roles, with direct oversight of technical or IT infrastructure projects. - Must have hands-on experience with projects including domain migrations, cybersecurity deployments, wireless and network setups, infrastructure rollouts, new client onboarding, and complex client offboarding initiatives. - Proven success leading multi-phase or cross-departmental engagements with budget, scope, and timeline responsibility. - Strong communication, negotiation, and client-facing skills — especially under pressure or in ambiguous situations. - Fluency with project management tools, Microsoft 365, and documentation tools. - Ability to coordinate across departments and align project execution with client goals. - PMP + or equivalent, ITIL, or Agile/Scrum certifications Preferred Experience - Familiarity with service delivery KPIs and resource planning in a project-based services company.
