Job Description

Project & Operations Documentation Assistant, Part Time

Vibration Mountings & Controls, Inc.

• Document and maintain records for all active projects and operational initiatives • Organize project updates, timelines, and key deliverables into structured formats • Create and standardize documentation templates, reports, and tracking tools • Work closely with internal stakeholders to gather and verify project information • Ensure documentation is current, accurate, and easily accessible • Assist in summarizing project status, risks, and progress for leadership review • Support process improvement efforts by identifying documentation gaps and inefficiencies

Job Requirements

  • Strong organizational and documentation skills with high attention to detail
  • Ability to manage multiple projects and deadlines simultaneously
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and/or project management tools (e.g., Smartsheet, Jira, Trello)
  • Experience in project coordination, operations, or administrative support preferred
